Position Summary

The Accounts Payable Coordinator is responsible for managing all aspects of accounts payable functions with an emphasis on accurately processing invoices and payments in a timely manner.

Key Responsibilities

To perform in this position successfully, an individual must be able to perform each key responsibility satisfactorily. Reasonable accommodations may be made to enable individuals with disabilities to perform essential functions. Other duties may be assigned to meet business needs.

  • Process invoices. Reviewing for accuracy and verifying approval for payment.
  • Reconcile invoices with purchase orders and receiving documents.
  • Contact vendors and suppliers with invoice discrepancies, billing issues, and payment inquiries.
  • Manage billing process. Prepare and issue payments with established procedures.
  • Maintain accounting systems by updating account records, including invoices, and payment documentation.
  • Assist with month-end close, monthly statements and account reconciliations.
  • Support administrative functions, such as scanning, filing, copying, and data entry.
  • Collection and submission of monthly physician timesheets and allocation of associated income
  • Renewing annual business licenses
  • Maintain a working knowledge of accounting regulations and best practices related to accounts payable.

Education and Experience Requirements

  • High School Diploma required.
  • Associate or bachelor’s degree in accounting, business, or a related field preferred.
  • 1-3 years of experience in accounting or bookkeeping role.

Knowledge, Skills, and Abilities

  • Understanding of accounting principles and practices.
  • Proficiency in MS Excel.
  • Familiarity with accounting software.
  • Excellent attention to detail and accuracy.
  • Good analytical and problem-solving skills.
  • Strong organizational and administrative skills.
  • Strong ethical standards and the ability to maintain confidentiality.

Physical Requirements

  • Must be able to work onsite in-office in Newark, Delaware.
  • Prolonged periods of sitting at a desk and working on a computer.
