OVERVIEW & PURPOSE

The Office of Administrator strives to manage the business operations of the Church. Duties include but are not limited to all tasks associated with office management, communication, volunteer management and event organization. This is a 16-20 hour a week ministry.

Office Management: The Office of the Administrator runs the day to day operations of the Church office.

1. Maintain church records and personnel files

2. Ordering / stocking and maintaining an accurate inventory of all office supplies

3. Maintain computer files ( with backup ) and manage all office equipment
( desktops, telephones, copy/fax/scanner, video equipment etc… )

4. Attend to all walk-in guests and members entering facility

5. Schedule & Prep Pastoral meetings

6. Display all monthly activities on Church Marquee & main bulletin board.

Communication (**): The Office of the Administrator is the primary communicator for all Church programs and events and announcements.

1. Answer & Respond to all incoming phone calls & voice mails within 24 hours

2. Answer & Respond to all incoming emails & respond efficiently within 24 hours

3. Update Church website with the following information: a. Calendar b. Staff c. Event Slides d. Event Registrations

4. Manage and Update any and all social media outlets including Church App.

5. Effectively generate mass communications to members and community through: a. Mass Email b. Direct Mail

6. Create all Church Service Bulletins, Newsletters, Weekly Announcements Event Inserts, Sermon Notes.

7. Maintain all outside vendor accounts. a. Plumber, Electrician, Apparel, etc…..

Membership Management: The Office of the Administrator is the sole representative responsible for all Church Member records and delegation of support services.

1. Collect & File all Church Membership Contact information a. Home Phone, Cell Phone, Email, Address etc...

2. Enroll all membership class attendees and collect all pertinent documents upon completion to file

3. Follow up with all visitors post-service with a follow up phone call, email, and/or Welcome Letter

4. Ensure background checks are secured and maintained for all applicable personnel.

5. Organize Volunteer database and volunteer schedule for Sunday & Wednesday Services.

Event Organization( **): The Office of the Administrator is the main contact person and organizer of all major Church functions, on campus & off campus.

1. Manage all registrations for ministry events on campus and off campus a. Create sign up sheets when necessary

2. Register attendees for off campus events and coordinate/book hotels when applicable for staff and/or guests.

3. Connect with vendors and local organizations for their contributions to on campus events and follow up with proper documentation where needed.

4. Lead communications for all Church Events: Said events include but are not limited to:
i. Community Easter Egg Hunt ( Spring )
ii. Fall Festival ( Fall )
iii. Vacation Bible School ( Summer )
iv. Christmas Eve Candlelight Service ( Winter )
v. Christmas Sunday Service
vi. Weddings, Memorial Services, Baby Dedications & Baptisms
vii. Revival Weeks ( Seasonal )

Facility Management( **): The Office of the Administrator is the main point of contact for facility requests, needs repairs & documentation.

1. Connect with all vendors for maintenance needs on Church property & obtain multiple quotes for said repairs & upgrades. ( electrician, handyman, lawn care etc....)

2. Schedule meetings, events & rental of facility requests according to Church

Calendar.

Church Liaison( * *): The Office of the Administrator is the scheduler , community leaders, and visitors & guest speakers.

1. Coordinate schedule for all weddings, funerals, missionary bookings and visits. a. Responsible to connect visitors to proper Church ministry staff: i. For example. Missionaries will connect to our Missions Directors via Church administrator ii. New Guest will be connected to our Campus Director via Church administrator

2. Coordinate & Prep Volunteer, Staff & Board Meetings
