JOB/POSITION TITLE: Supplemental Programs ASEP Coordinator’s Assistant
OFFICE/CAMPUS: Supplemental Programs ASEP/Elementary
REPORTS TO: ASEP Coordinator
STATUS: 12 Months (Non-Exempt)
HOURLY PAY RANGE: $17 - $21
PRIMARY PURPOSE:
To assist the program coordinator with proving a safe and well-supervised environment for after school, holiday and summer enrichment programs that enhance the learning experiences of students in grades JK-6.
ESSENTIAL DUTIES/FUNCTIONS:
  • Assist the coordinator in developing after school enrichment program, summer and holiday program goals and objectives.
  • Assumes coordinator’s supervisory responsibilities in his/her absence.
  • Handles registration processing for all ASEP, summer and holiday programs which includes processing forms, formatting and spreadsheet data entry.
  • Collate and mail communication and information to parents. Communicate and send information to parents in person, online, mail, or via phone.
  • Assist with the formatting and design of the annual ASEP and holiday programs’ brochure.
  • Assist Coordinator with accurately documenting funds (i.e. drop-in and late fees).
  • Answer phone calls and emails by addressing questions and concerns.
  • Assist parents as needed.
  • Prepare and maintain the front table information and supplies.
  • Maintain an inventory of office and ASEP/summer/holiday program supplies and equipment.
  • Assist the coordinator in observing and directing leaders in carrying out respective duties.
  • Assist the coordinator and director of supplemental programs in the coordination and supervision of after school programs conducted by independent contractors.
  • Manages registration process for ASEP, summer and holiday programs.
  • Assist the coordinator with the program, schedule, and curriculum for the ASEP, summer, and holiday programs.
  • Maintain a good supervisory working relationship with all staff. This includes encouraging open dialogue about individual concerns, difficulties and new ideas.
  • Discipline children as necessary.
  • Write behavior and accident reports.
  • Assist coordinator in preparing for staff meeting.
  • Observe leaders to evaluate the effectiveness of the planned activities.
  • Coordinate off campus activities/field trips as necessary.
  • Ensure proper processing of all collected funds.
  • Direct leaders in carrying out their respective duties.
  • Serve as liaison between the school and home to establish a positive working relationship; interact directly with parents.
  • Assist the coordinator at staff meetings.

WORKING CONDITIONS:
  • Equipment Use: Computer (word processing and electronic spreadsheet applications), two-way radios, and first-aid kit, audio/visual equipment
  • Work Hours: Generally – Regular school: 9:00 a.m. – 5:30 p.m., Monday – Friday.
    During school intersessions and summer breaks 7:00 am – 5:50 pm.
  • Mental Demands: Prioritizing tasks and projects, analytical and critical thinking ability, attention to detail, concentration, decision-making.
  • Physical Demands: Sitting for extended periods. Must be physically fit to participate in recreational activities and be able to walk around campus throughout the day to actively supervise and observe staff and students.
QUALIFICATION REQUIREMENTS:
  • Spiritual: Must have accepted Jesus Christ as Lord and Savior of their life and; demonstrate a living relationship with Jesus Christ as described in “The Baptist Faith and Message”, the tenets of the Southern Baptist denomination.
  • Skills/Knowledge: Good verbal and written communication skills. Enjoys working with children. CPR and first aid certified .
  • Education/Training: High School Graduate.
  • Experience: At least one year of prior experience working with children.
