The Inspections Coordinator holds a pivotal clerical and administrative role within the division. As such, the incumbent is entrusted with acting in the best interest of both customers and the company at all times. The position encompasses a range of duties and responsibilities, as outlined below:

Duties & Responsibilities

  • Efficient Inspection Scheduling:
  • Coordinate timely inspection schedules for inspectors, ensuring optimal efficiency.
  • Prioritize and allocate resources effectively to meet inspection demands.
  • Punctuality and Reliability:
  • Uphold a high standard of punctuality and reliability in all aspects of the role.
  • Recognize the critical impact of timely inspections on customer satisfaction.
  • Attention to Detail:
  • Maintain meticulous accuracy and attention to detail throughout the inspection process.
  • Ensure thoroughness in documentation and reporting.
  • Proactive Customer Engagement:
  • Reach out to customers in advance to schedule inspections.
  • Leverage opportunities to upsell additional services during customer interactions.
  • Facilitate payment collection at the time of service.
  • Contract Review and Compliance:
  • Review customer contracts to verify alignment with inspection schedules.
  • Monitor contract terms, ensuring inspections occur as scheduled.
  • Document Management:
  • Create and organize Service/Inspection files for the Service Department.
  • Upload inspection reports, approvals, and relevant images.
  • Order Tracking and Coordination:
  • Regularly review open orders to confirm inspection scheduling.
  • Collaborate with relevant teams to streamline inspection processes.
  • Professional Support and Confidentiality:
  • Assist and support the Service/Inspection Department in a professional manner.
  • Safeguard highly confidential information in accordance with APi Group Inc. policies.
  • Clerical and Administrative Functions:
  • Provide clerical and telephone support to the Service Department.
  • Maintain accurate records, including filing, quotes, letters, and emails.
  • Facilitate smooth information flow within the department.
  • Departmental Organization:
  • Uphold the tidiness and organization of the overall department.
  • Contribute to an efficient and well-structured work environment.
  • Special Projects and Adaptability:
  • Undertake special projects or additional duties as assigned.
  • Demonstrate adaptability in handling diverse tasks.
