The Room Reservationist is responsible for handling reservations in a friendly and efficient manner and quoting available rates to maximize room revenue and average rate according to Aimbridge Hospitality standards. They work closely with Sales & Marketing, Accounting, Conference Services, and Group Meeting Planners to ensure excellent customer service and the highest level of accuracy in bookings is always provided.

QUALIFICATIONS:

High School graduate or G.E.D. equivalent.

Six months reservations experience in the hospitality industry

Knowledge of Outlook MS Word and Excel required.

Experience with Group Sales computer systems, CI/TY experience is a plus

Marriott and Lightspeed experience is a plus

Capable of using multiple systems at the same time

Must be able to convey information and ideas clearly.

Self-starter results-oriented team player and demonstrates a high-level attention to detail

Flexibility and adaptability to a dynamic evolving environment

RESPONSIBILITIES:

Approach all encounters with guests and employees in a friendly service-oriented manner.

Answer all incoming calls promptly in a friendly efficient and courteous manner.

Manage Business Transient bookings including, but not limited to making, changing, and cancelling reservations, sending, and applying credit card authorizations, and answering questions from Business Transient guests and clients.

Keep updated files on all upcoming groups upon receipt of turnover.

Promptly efficiently and accurately book and block rooms using Aimbridge Hospitality guidelines for Group Rooming Lists and Booking Agreements.

Ensure accuracy between the Lightspeed and CI/TY systems (room blocks rates cutoff dates).

Detail each Group profile and/or reservation with Group/BT specific information (rate code, deposits, location requests, package inclusions, contract concessions, etc).

Build rates and inclusive packages specific to each Group (create routing profiles, deposit policies, cancellation policies etc.).

Input group rooming list and facilitate all rooming list changes and billing changes upon receipt from conference service coordinator assigned to the group.

Manually assign specific accommodations based upon feature and/or location requests.

Provide reservation and pick up reports upon request.

Facilitate weekly pickup meetings and make appropriate updates, communicating with clients regarding their group pickup.

Cross reference Group resumes with system information and ensure accuracy.

Attend all Pre-Planning and/or Pre-Conference Meetings with clients and Conference Services

Assist accounting in verifying and correcting group guests folios.

Be able to answer guest and group inquiries about hotel services, facilities, and hours of operation.

Maintain accurate files and reports.

Performs other duties as assigned by hotel/department leadership.

Comply at all times with Aimbridge Hospitality standards and regulations to encourage safe and efficient hotel operations, including regular attendance and standards of personal appearance.
