Job Title: Public Programs Coordinator

Department: Programs

Reports To: Vice President for Academic & Public Programs

FLSA status: Full-time, 35 hours per week, non-exempt, hourly

Hours: 9am-5pm, Monday through Friday (Typical) | Occasional nights and weekends (for events planned in advance)

Salary Range: $22 -$25 per hour

Location: Worcester, MA

Organization Description: The American Antiquarian Society (AAS) cultivates a deeper understanding of the American past, grounded in its ever-growing collection of printed and manuscript sources. The Society fosters a broad community of inquiry through inclusive programs and generous support of scholarship. A national research library and learned society founded in 1812 by Revolutionary War patriot and printer Isaiah Thomas, AAS is located in Worcester, Massachusetts. The AAS library today houses the largest and most accessible collection of books, pamphlets, broadsides, newspapers, periodicals, children's literature, music, and graphic arts material printed before the twentieth century in what is now the United States, as well as manuscripts and a substantial collection of secondary texts, bibliographies, and digital resources and reference works. AAS was presented with the 2013 National Humanities Medal by President Obama in a ceremony at the White House. We are seeking an efficient, passionate individual to join our team and maximize our impact as an organization. The Public Programs Coordinator is responsible for overseeing the coordination, implementation, and evaluation of programs, tours, and events. With a commitment to welcome, recruit, support, and empower people of diverse backgrounds and experiences, this individual will also strive to create positive experiences for all participants and repeat best practices for future programs. A successful candidate will be someone who sincerely enjoys working with people from a variety of backgrounds and thrives on attention to detail in coordinating programs. The right candidate will join a 4-person Programs Team that engages with the learning communities and partners of our over 200-year-old organization.

Essential Functions

  • Participate in all activities related to public programing in collaboration with the programs team.
  • Coordinate the organization of public programming, including (but not limited to) event scheduling, managing the programs calendar, scheduling and attending rehearsals with library staff and program presenters.
  • Coordinates both physical and technical features of onsite, virtual, and hybrid programs.
  • Record program statistics and attendee evaluations.
  • Maintain electronic mailing lists.
  • Organize educational workshops for visiting groups, including visits from K-12 and college-level students and instructors.
  • Coordinate staffing of weekly public and special event tours of the library.

Qualifications/Skills

  • Excellent verbal and written communication skills.
  • Excellent interpersonal and collaboration skills.
  • Excellent organizational skills and attention to detail.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Proficient with Microsoft Office Suite, Zoom, YouTube, and/or rleated software.
  • Experience with constituent relationship management systems (CRM), such as Raiser's Edge, is a plus.
  • Familiarity with, and interest, in managing social media is desirable.
  • General background and interest in early American history topics a plus
  • Ability to work a flexible and variable schedule depending on organizational events and needs, possible weekend and evening hours
  • Ability to read, understand, speak, and write in Standard English; ability to communicate effectively in English with individuals in person, over the telephone, and via the printed word.
  • 2 years related experience
  • High School Diploma/GED or higher
    Or an equivalent combination of education and experience

Physical Demands and Work Environment

Duties require periods of standing, walking, and sitting. Duties require occasional periods of climbing or balancing, pulling/pushing items, lifting/carrying items weighing up to approximately thirty pounds, and reaching with arms and hands. Vision and hearing at or correctable to “normal ranges.” Other physical tasks include use of hands for basic grasping/manipulation, use of hands for fine manipulation, occasional reaching, stooping, bending, kneeling, crouching, and keyboarding. Physical duties are subject to change.
