The Medical Records Director provides leadership and direction for the medical records department. They are entrusted with managing and maintaining all patient medical records information, ensuring compliance with all state and federal laws, rules/regulations, and standards for the quality of patient care. They spearhead health information and clinical documentation improvement initiatives, ensuring compliant documentation, quality outcomes, and timely completion. As the Privacy Official, the Medical Records Director plays a crucial role in promoting awareness of and compliance with privacy and security practices related to patient health information.
The Medical Records Director is instrumental in facilitating initiatives to optimize health information and other technologies. Their expertise is crucial in improving workflows and increasing quality and reimbursement.
Qualifications:
  • Bachelor's degree in health information, healthcare, business, or a related field; OR an equivalent combination of relevant education and experience.
  • Certified in Healthcare Privacy Compliance (CHPC) or Certified in Healthcare Privacy and Security (CHPS) within three years of employment.
  • Current certification through AHIMA as an RHIT/RHIA; OR clinical licensure in a nursing, health care, or allied healthcare discipline, highly preferred.
  • Strong knowledge of medical terminology, human anatomy and physiology, pathology, and pharmacology.
  • Previous experience using or managing medical records.
  • Extensive knowledge of information systems and healthcare applications.
  • Strong ability to build relationships with clinical and financial leaders, providers, and clinicians to ensure effective processes around medical records, privacy, and clinical documentation.
  • Effective oral and written communication skills and excellent interpersonal skills.
  • Knowledge of federal/state regulations pertaining to patient medical records. Ability to distill complex laws and regulations into understandable formats.
  • Understanding of ICD9/10 and CPT coding
  • Ability to adapt to flexible work schedules and frequent interruptions.
  • Highly developed problem-solving skills.
  • Excellent customer service orientation with the ability to relate directly, openly, and effectively with internal and external stakeholders at all levels.
Essential Functions
  • Collaborate with multidisciplinary groups to identify gaps and improvement opportunities in health information and clinical documentation that may impact patient quality of care, code assignment, reimbursement, or revenue integrity activities (e.g., command of disease process, clinical concepts, clinical validation opportunities, coding, denials, fraud prevention, etc.).
  • Serve as a resource and guide the organization regarding privacy and security laws, regulations, and standards. Ensure privacy and security compliance with documentation, production, and retention as required by State and Federal law.
  • Responsible for managing the privacy program, including distributing the organization's Notice of Privacy Practices, processing requests for patients' rights (restriction, amendments, etc.), effective workforce education and awareness training, access and release of protected health information, minimum necessity standards, etc.
  • Assist in the abstraction and analysis of data from the medical record for medical care evaluation studies, patterns of patient care and performance improvement. Collaborate with performance improvement, nursing leadership, and medical staff to facilitate the organization's peer review processes.
  • Drives the utilization of MyChart/patient portal, partnering closely with information systems, registration, patient financial services, and clinical departments to increase awareness and usage.
  • Ensure effective procedures and workflows are in place to process health information requests and release information according to legal and regulatory standards.
  • Partners with finance, billing and coding, patient financial counseling, prior authorization, utilization review, and revenue integrity teams to drive improvements in the organization's revenue cycle and reimbursement processes.
  • Performs all other duties as assigned.
