We are looking for an ethical, professional, dependable multi-tasker with excellent communication skills and an upbeat attitude. Candidates should be able to handle a fast-paced high stress work environment. Candidates must be able to assist management and clients by handling office tasks, providing polite and professional assistance via phone, mail, and email, processing tax returns for release to clients, scheduling meetings, and generally being a helpful and positive presence in the workplace.

The ideal candidate would have 8 years of related work experience.

This is a Full-time position with occasional overtime during tax season (Jan 1st – Apr 30th) and extension deadlines (Sept 1st – Oct 15th). No vacation time is authorized during these dates.

Normal Operating Hours:
8:30am – 5:30pm, M-F

Skills Required and Scope of Work:

  • Handle office tasks such as filing, generating reports, setting up for meetings, creating labels, and mailing documents
  • Receive, check in, and photocopy/scan source documents for tax returns
  • Process final tax returns for client delivery
  • Process client payments electronically
  • Update client contact information in Intuit Lacerte tax software (training provided)
  • Provide scheduling support by booking appointments and preventing conflicts
  • Screen phone calls and route callers to the appropriate staff member
  • Use computers to generate reports and conduct online research
  • Advise clients what documents to bring to meetings
  • Maintain filing systems
  • Maintain client confidentiality procedures
  • Greet and assist visitors
  • Maintain polite and professional communication via phone, e-mail, and mail
  • Anticipate the needs of others to ensure their seamless and positive experience
  • Maintain alphabetical and chronological filing competency
  • Work well autonomously or in a team environment
  • Provide assistance to other staff members or client for special projects
  • Create basic spreadsheets using Microsoft Excel
  • Show willingness and ability to learn new skills quickly

Software Skills:

  • Proficient in Microsoft Suite, especially Word and Excel
  • Have fundamental knowledge of Adobe PDF software

Education Level:

  • High School Diploma, GED, or Associate degree

Job Type: Full-time

Pay: Up to $17.00 per hour

Expected hours: 40 per week
