POSITION SUMMARY:

This position will be responsible for assisting the Senior Vice President (SVP) with the operations of the Office of the Senior Vice President for University Advancement. The Assistant to the SVP regularly interacts with Board members, Cabinet members, their assistants, as well as Division personnel and University partners. Duties include, but are not limited to, coordination of the efforts of the University Advancement Committee of the Board, the Board Membership Development Committee of the Board, and the Public Honors and Events Committee; calendaring and travel arrangement management; budget management; personnel record management. In addition, this position will manage additional projects as assigned.

DUTIES AND RESPONSIBILITIES:

Management of Office of the Senior Vice President to include: calendaring coordination, travel arrangements and trip itineraries, which includes frequent communication with the Office of the President, thereby developing relationships built on trust and follow-through; communication with Board members, Cabinet members, and their assistants; meeting preparation and material production, especially in support of the University Advancement Committee of the Board and the Board Development Membership Committee of the Board, and posting materials in Diligent; support and coordination of the activities of the Public Honors and Events committee, tracking candidates through request to final approval. Act as liaison, often on SVP's behalf, with all University offices and Division staff. Work closely with other Executive Assistants to assure smooth operation between the various divisions. Donor stewardship including proofing letters, gift and fund agreements, and managing gifts and pledges from receipt to acknowledgement. Serve on the Donor Relations Team which stewards Duquesne's endowment funds.

Personnel and budgeting responsibilities, which includes: confidentially handling salary and candidate information, tracking salary budgets and operating budgets, paying invoices, managing memberships, etc. Manage and track division sponsorships from requests, to payment, ad development, and guests invited.

Organize and coordinate all other activities and needs of the Office of the SVP, including supplies, staff lists, events, meetings, etc.

Other related duties as assigned and/or needed that will lead to philanthropic impact on Duquesne University.

REQUIREMENTS:

Minimum qualifications:

Bachelor's degree from an accredited institution and 5-8 years of progressively responsible experience.

Executive Assistant experience, preferably in higher education and fundraising.

Current valid driver's license.

Note: Previous significant executive assistant experience may substitute for education requirements based on the analysis of the hiring manager.

Preferred qualifications:

Prefer expertise with operating systems such as Banner (or another advancement CRM), DocuSign, and MS Office suite.

Alternately, the successful candidate may possess any equivalent combination of experience and training, which provides the knowledge, skills and abilities required to perform the essential job functions. This includes, but is not limited to, the following:

Exceptional communication and relationship building skills, working effectively and productively with colleagues, senior staff and Board members in a professional manner

Ability to handle various and diverse matters with confidentiality and sound judgement

Strong work ethic, and initiative

Excellent organizational, project management, and leadership skills

Ability to juggle multiple priorities and projects

Able to work independently within the boundaries of established University and Advancement policies and practices

Strong time management skills (consistently meets deadlines/deliverables and standards for quality work)

Strong problem-solving skills and demonstrated success in exceeding goals and expectations

Ability to learn quickly (such as with new systems, such as Diligent, Chrome River, Unimarket, etc.)
