FACILITIES

Thisposition will perform a variety of complex accounting and administrative workto support the operations of the Facilities, Fleet and Emergency SupportServices Department.
Generally, the hiring range is $41,187-$51,484 annually. Qualifications, education and experience as it relates to the position will be taken into consideration when determining hiring salary.

  • Input and manage the JP Morgan purchasing card program for the department. To include scanning, uploading images, coding, and working with staff to insure all items are received and reviewed in a timely manner.
  • Review all invoices prior to submittal to ensure accuracy of billing (sales tax, usage, etc.).Submit all invoices (scanning and uploading) for department approval through JD Edwards with accuracy and timeliness.
  • Handle payment inquiries also verify open purchase order charges have been applied and assist with the input of expenses to all operating/project spreadsheets. Backup Sr. Administrative Support Specialist with coding of invoices/receipts as needed.
  • Data input utility information into UtilityTrac and prepare monthly/annual budget reports as requested (usage, year to date costs).
  • Manage the paper shredding contract to ensure that service is running efficiently, handle any requests for adding/removing inventory, scheduling additional services as requested by departments and ensuring monthly billing is applied correctly.
  • Manage the trash services contract requests for adding/removing services. Monitoring monthly billing to ensure accuracy of charges, processing payments.
  • Oversee the distribution of the annual asset inventory list for the department (distribute, verify and submittal to Finance).Maintain building list for distribution, department organizational charts, department SharePoint team site for contacts, vacations, etc.
  • Gather materials, information from staff, compile and submit the bi-weekly County Manager report and assist with producing the quarterly department newsletter. Assist management staff with compiling information for presentations, master plans, etc.
  • Maintain FFESS employee records of credit cards, phone allowance, County phone, uniform, and tool allowances. Assist maintenance and fleet staff with ordering and tracking of items as requested.
  • Responsible for answering phones greeting visitors, managing conference room and vacation calendars, order and manage office supplies, routinely check all office equipment to insure in proper working order (paper, toner, staples) and maintain service for all department copiers.
  • Prepare mailings for department as necessary, pick up and drop off all mailings to PW Ops daily, distribute mail to department staff. Responsible for maintaining project files for building projects and general correspondence.
  • Assist during the annual Douglas County Fair (ticketing agents, box office management or other areas)
  • Back up Facilities Safety & Security Coordinator (badging) during absences from the office. Assists with trainings when needed.
  • Attend ERC (Emergency Response Coordinator) meetings as the representative for the office group.
  • Performs other duties as assigned.

SUPERVISIONRECEIVED: Work is performed undergeneral supervision.
SUPERVISORYRESPONSIBILITIES: No supervisoryresponsibilities
INDEPENDENTJUDGMENT: Ability to work, manage andcomplete multiple tasks in a timely manner independently within the operatingpractices of the department and County.

MINIMUM QUALIFICATIONS:

EDUCATIONand/or EXPERIENCE:

  • High school degree or GED required.
  • Associate Degree in Accounting, Business, or related field preferred.
  • Minimum of two years in accounting practices (preferably public sector) or related experience. 
  • A combination of education and experience may be considered.

KNOWLEDGE, SKILLS AND ABILITIES

Knowledge:

  • Understanding of accounting practices and principles. 
  • Knowledge of basic financial systems and financial management programs. 

Skills:

  • Understand and analyze data for planning, budgeting, etc.
  • Intermediate skill in MS Office programs. 
  • Familiarity with JD Edwards financial software program. 

Abilities:

  • Apply common sense understanding to interpret and carry out a variety of instructions in written, verbal or diagram form.
  • Flexible with changing tasks, without loss of efficiency or composure.
  • Self-starter.
  • Attention to detail.
  • Work unsupervised and with teams.

CERTIFICATIONS,LICENSES, & REGISTRATIONS:

  • Must possess a valid Colorado Driver’s License upon hire, with complying insurance. Review of motor vehicle record is required at time of hire and periodically throughout employment.
  • This positionrequires successful completion of a criminal background check includingfingerprinting through a national database.

WORKENVIRONMENT:
Physical Work Environment: Work is performed in anoffice environment and occasional trips to other County buildings or sites togather information relative to a specific task. 
Physical Demands: Sitting for extended periods oftime. Will be required to support Douglas County Fair operations annually,which will require physical mobility and ability to drive a vehicle.
Materialand Equipment Directly Used: Standard office equipment (computer,telephone, copier, printer).

In the event of an emergency/disaster in or near the County, all County employees are expected to make every effort to be available to assist the County Manager, Elected/Appointed Officials and Department Directors to ensure the continued operation of any and all necessary County functions. This may mean being available to perform additional duties and hours beyond what is normally required. In the event that an exempt employee does work more than 40 hours a week in support of County operations during an emergency, such employee may receive overtime or other appropriate wage compensation in accordance with existing County policies or at the discretion of the County.
