About the Organization
Communities In Schools of North Central Washington (CISNCW), in partnership with 14 other statewide network affiliates (11 independent 501(c)(3) organizations and 3 emerging organizations) across Washington state has been striving for equity in educational opportunities. Our office is a small, high-energy office has a history of strong operations and successful outcomes built upon community partnerships. Driven by our core values of belonging, integrity, and relationship building, and in adherence to the CIS National guidelines, our North Central Washington office works to ensure that all educational communities in our area have the tools and capacity to provide and sustain strong student programs and services in their communities as we work directly inside K-12 schools supporting students who have historically been furthest from educational justice.
Job Summary
The CISNCW team is growing its capacity to support operations in the North Central Washington region. The role will be responsible for a variety of tasks including calendar management; coordinating and supporting meetings; effectively prioritizing amidst a high volume of information and requests ensuring an appropriate level of urgency is given; managing travel and expenses; and providing other administrative support as needed.
This position will support the CISNCW Executive Director and Executive administrative team; assist with administrative duties, data collection and reporting, and CISNCW Board relations; enhance relationships with partner schools; and help coordinate community service partners and organizations. This position is non-supervisory in nature.
The successful candidate brings 4 years of relevant administrative support experience, possesses excellent organizational and communication skills, and is an excellent problem-solver capable of taking initiative and prioritizing effectively.
Key Responsibilities
Office Operations Support (80% of workload)
· Provide general administrative support to a cross-functional team of CISNCW leadership staff, including: receive and distribute mail; monitor and direct general inquiries; organize and maintain paper and digital files; maintain and update the office calendar; and coordinate travel accommodations as needed.
· Virtual and in-person meeting support, including assisting with scheduling, preparing meeting spaces, preparing, and distributing meeting materials, organizing catering, and recording meeting minutes.
· Assist with agency financial operations including purchasing, expense tracking and reimbursements.
· Create and revise systems and procedures in collaboration with leadership team by analyzing operating practices, utilization of systems and software, and recommend implementing changes.
· Maintain agency distribution lists and user accounts for systems in use; provide staff with access to virtual resources as needed.
· Maintain technology inventory including distribution of resources; assist with minor tech support issues.
· Serve as primary liaison for the agency’s third-party IT support providers.
· Serve as primary liaison for commercial property management company.
· Maintain inventory, organize, and distribute office supplies, technology resources, and in-kind donations.
· Schedule and coordinate virtual and in-person staff meetings with our leadership tema across our region in NCW.
· Handle in-person staff convening logistics including booking venues, catering, and travel accommodations; calendaring/registration; preparing materials; and day-of support for staff events.
· Record, synthesize, and distribute meeting notes from convenings and conduct post-meeting surveys.
· Track staff participation in trainings and events.
· Support the development and maintenance of a strong and supportive internal staff network.
· Help with CIS National Accreditation and/or Annual Risk Management Assessment processes as requested.
Resource Development Administrative Support (20% of workload)
· Record and reconcile donor gifts in donor database; send gift acknowledgements.
· Ensure donor database donations match financial reports to ensure accuracy for annual audits.
· Event support, including donation procurement requests, volunteer registration, gift reconciliation and acknowledgement.
· Draft and send subrecipient agreements for grants.
· File and organize media consent forms.
· Assist with organizing marketing supplies and putting together packets.
General
· Foster and maintain positive relationships with administrative office staff, board and community provider network.
· Perform other identified duties appropriate in a small team oriented non-profit office.
· Maintain confidential and sensitive information.
Job Qualifications
Education & Experience
· High School diploma or equivalent, Bachelor of Arts education preferred.
· Administrative support and project management experience preferred.
· Experience supporting an executive or leadership team.
· Data entry and data management desired; experience with donor databases a plus.
· Experience with Executive and/or Board of Director meeting support and event support.
· Experience in nonprofits preferred.
Demonstrated Skills
· Comfort working and communicating with a variety of personalities, positions, and skill levels.
· Ability to take direction but then work and problem solve independently, juggling multiple priorities with poise and accuracy.
· Organized, efficient, detail and process oriented.
· Exceptional written, oral, presentation, and professional skills.
· Strong competency with computer software including Microsoft Office Suite; experience with SharePoint a plus.
