St. Paul's Day School is Hiring an Office Administrator Near Westfield, NJ

Office Administrator

This person is responsible for performing clerical and administrative duties in the main office of the Day School. Hours for this position are Monday-Friday 7:30-11:30am, with flexible hours during the summer months.

*The target start date for this position is August 1, 2024.

Qualifications:

The Office Administrator must hold a minimum of an Associate’s degree, preferably in education, human services, public health, or business. A Bachelor’s degree is preferred. This person must be reliable, organized, detail-oriented, and able to independently track and meet deadlines. The Office Administrator must have strong written and verbal communication skills, and be able to communicate effectively with a variety of stakeholders.

General Responsibilities:

  • Greet families and visitors; check ID for all visitors and maintain school security
  • Communicate with the school community via telephone, email, and face-to-face communication
  • Serve as an ambassador for the Day School; speak to prospective families about our program offerings and schedule tours for the Director/Assistant Director
  • Be a brand advocate for the school by ensuring all materials follow brand guidelines and providing all new teachers with the Staff Brand Toolkit
  • Maintain an organized system of child records (digitally and in print) including, but not limited to, enrollment forms, emergency contact information, and health records
  • Update allergy and health conditions lists for classrooms, review out of date Universal Child Health records, and check medication expiration dates monthly; contact families for updated information and medication as needed
  • Submit annual immunization audit records to the Health Department
  • Notify families in instances of accident/illness; maintain accident and illness logs
  • Use digital systems including, but not limited to, Procare and Google Drive to gather, store, and organize information; enter incoming student data into Procare
  • Monitor inventory and submit supply orders to the Director for approval; maintain receipt records and submit to the finance department
  • Adhere to all licensing and accreditation standards, including maintaining CPR, First Aid, AED, and EpiPen certifications, and completing a minimum of 12 staff development hours annually
  • Attend and participate in school functions, including Back to School Night
  • Arrange substitute coverage when out of school for personal or sick time

Other Requirements:

  • Complete 12 staff development hours annually per State licensing regulations
  • Obtain certification in CPR, AED, first aid and EpiPen use
  • Attend the Abuse Awareness workshop given by the Episcopal Diocese of NJ
  • Follow all policies and procedures outlined in the staff manual and the New Jersey Manual of Requirements for Child Care Centers

Job Type: Part-time

Pay: $20.00 - $23.00 per hour

Expected hours: 20 per week
