Salary Range: $22.00 - $27.00 Hourly

Description

Job Summary

This position is responsible for the accounts payable function of the organization, handling day-to-day accounts payable transactions and ensuring that all vendor invoices are paid by the due date. This position will also serve as backup for the accounts receivable area and vice versa. Cross-training and team support are planned for this role and those in the Accounts Receivable team. The Accounting Specialist may assist with the preparation of journal entries, reconciliations, the month-end, and year-end closing process, ensuring that all necessary transactions are posted in accordance with U.S. Generally Accepted Accounting Principles (GAAP). This person will support department work objectives under the guidance of the Controller and the Senior Accountant.

Duties/Responsibilities

  • Sort, track and record incoming invoices, credits, packing slips, payment requests and other payable-related documents to ensure timely processing.
  • Review all invoices and disbursements requests for clerical accuracy, verify or obtain proper approvals according to current policy.
  • Set up new vendors in accounting system in close collaboration with purchasing, marketing, engineering, and other departmental staff.
  • Responsible for receiving, coding, matching, entering, researching, and filing vendor invoices.
  • Communicate professionally with vendors and internal customers to research and resolve inquiries related to invoice and payment status.
  • Support sales and use tax reporting, and annual Form 1099 notice to vendors and IRS, according to stated deadlines.
  • Responsible for on-going vendor account reconciliation.
  • Assist with bank reconciliation activities.
  • Assist in month-end closing and vendor accrual evaluation.
  • Assist with financial audit support work.
  • Take on ad-hoc projects as requested and other duties as assigned.

Education and Experience

  • Associate Degree in Accounting, Finance, Business, or related training preferred. An equivalent combination of education and experience sufficient to successfully perform the job duties as listed above is acceptable.
  • Minimum of five years of relevant experience in the accounts payable area.
  • Strong command of standard, professional office practices and procedures.
  • Highly proficient with Microsoft Office, including Excel, with ability to quickly learn and utilize various software applications to complete assigned tasks.
  • Experience with Microsoft Dynamics (Great Plains) and payroll software a plus.
  • Professional and effective written and verbal communication skills.
  • Strong sense for upholding confidentiality over various corporate, HR and other sensitive materials and data encountered during the course of work.
  • Ability to collaborate in a team setting.
  • Ability to work independently.

Physical Demands and Work Environment

  • Spends approximately 90% of work time sitting and meeting with others or working at a desk and/or computer.
  • Spends approximately 10% of work time standing or walking within the work area or at meetings and bends, twists, stoops, and reaches.
  • Ability to communicate verbally and in writing.
  • Occasionally lifts and/or moves up to 15 pounds.
  • Working conditions are normal for an office environment.
  • The noise level is usually moderate.
