Job Summary
The Assistant Facilities Supervisor will provide administrative, tactical and managerial support in collaboration with other team members to ensure timely attention to and high quality of building services to staff, partner groups, and patrons.
Responsibilities:
· Provide direct support to the Director of Facilities in all aspects of the Facilities dept.
· Coordinate identification, purchase and inventory of departmental supplies, tools and equipment (cleaning, paper, furniture, fixtures, etc.).
· Oversee staff scheduling to ensure proper coverage on a daily basis, as well as for all events.
· Work directly with custodial, set-up and maintenance staff on any tasks that are in need of assistance.
· Act as the main point of contact during events, in partnership with the Director of Facilities.
· Open or securely close the building, as needed.
· Ensure the proper staging and aesthetic appearance of public space through ongoing monitoring.
· Work with others to manage security and safety contractors, vendors and equipment.
· Oversee, help develop and communicate security and safety policies, procedures and notices, with the HR dept's help.
· Work with Facilities management, and HR staff create and implement emergency preparedness.
· Review and implement action, as needed, on surveillance footage.
· Coordinate, troubleshoot, and seek resolution to the day-to-day matters and contracts for all technology, phone system, audio, and postage equipment, as needed with the IT dept.
· Maintain files for maintenance contracts, instructions and warranties.
· Maintain regular ordering process for uniform replacements and new hires with HR dept.
· Maintain communication and positive relationships with partner groups through regular communications, pertaining to the building operations.
· Provide administrative and organizational support to major endeavors including managing the department’s calendar, seasonal prep and special events.
· Create, maintain, update department forms, written procedures and related team communication.
· Regularly provide back up and support to other Facilities staff to ensure overall departmental success.
· Participate in identification and implementation of process improvement and cost savings measures, while ensuring high quality services.
· Demonstrate the ability to work effectively in a team environment is support of the organization’s core values and mission.
· Must be able to perform the essential functions of the job with or without reasonable accommodation.
· Other duties as assigned.
Skills and Qualifications
· 3 years related experience in Facilities, or related field, required.
· Proficient in Microsoft Word, Excel and technical aptitude.
· Must be able to work in a fast-paced environment, multi-task and adapt to changing priorities.
· Frequent lifting required up to 25 lbs. Prolonged sitting, standing, walking, climbing stairs, bending required.
