Billing Specialist

Location: Prince Frederick, Maryland

POSITION OVERVIEW: The Service Biller will be a part of a fast-paced team and will need to collaborate with the other departments to achieve the overall objectives of the accounting department. They will need to be independently driven, detail-oriented, be able to multitask, have strong problem-solving skills, work comfortably under pressure, and deliver on tight deadlines.

ESSENTIAL DUTIES:

  • Create and send all service invoices to customers according to the billing terms and prices outlined in the contractual agreements. Ensure that the invoices are accurate, timely, and comply with accounting standards and regulations (T&M & Quoted).
    • Submit invoices through customer portals when required.
  • Prepare and distribute all Service Agreement invoices for contractual agreements, ensuring that invoices are sent on time and that payments are received according to the payment schedules outlined in the contracts.
    • Resolve billing discrepancies or disputes with customers, working with internal teams and external customers to resolve issues and ensure that payments are received on time.
  • Service Customer related tasks:
    • Maintain all customer contact/billing information.
    • Including billing portals
    • New Customer set up assistance and credit review for terms.
    • Customer service hold management.
    • Customer Accounts Receivable Payment Collections-Service Only
  • Recording customer credit card payments, as needed for collections/COD

Follows all guidelines, policies, and procedures established by Calvert Controls

COMPETENCIES/REQUIREMENTS

  • At least 1 year of industry experience in T&M billing, preferably in the mechanical industry.
  • Detail-oriented and able to recognize errors
  • Ability to communicate professionally with other departments and positions inside and outside of Calvert Controls
  • Independently driven
  • Proficiency in Microsoft Office Word, Excel, and Outlook
