Institute for Integrative Therapies is Hiring an Operations Support Specialist Near Prairie, MN

About Us:

At the Institute for Integrative Therapies psychedelic healing center, we are dedicated to

providing a safe and supportive environment for individuals exploring the healing potential of

psychedelic therapy, as well as other healing modalities. We offer innovative and

compassionate care through a variety of modalities, including ketamine-assisted therapy, IV

Ketamine Infusions, and Spravato. Our team is committed to facilitating transformative

experiences that promote mental wellness and personal growth.

Position Overview:

We are seeking a highly organized and empathetic Operations Support Specialist to join our

team. The ideal candidate will play a crucial role in ensuring the smooth operation of our center

by providing administrative assistance and exceptional customer service to our clients and team

members. This position offers a unique opportunity to be part of a pioneering movement in

mental health and contribute to the growth and success of our organization.

Responsibilities:

- Greet clients and visitors with warmth and professionalism, ensuring a welcoming and

inclusive atmosphere.

- Manage incoming calls and emails, responding promptly and courteously to inquiries and

scheduling requests.

- Processing client payments at the time of their services.

- Maintain accurate client records and appointment schedules using electronic systems.

- Coordinate client intake processes, including gathering necessary paperwork needed for

services.

- Assist therapists and medical staff with administrative tasks, such as preparing treatment

rooms and organizing supplies.

- Handle confidential information with discretion and maintain strict adherence to privacy

regulations.

- Collaborate with team members to identify areas for improvement and implement effective

solutions.

- Uphold the highest standards of professionalism, ethics, and client care at all times.

Qualifications:

- Previous experience in administrative support or customer service roles, preferably in a

healthcare or mental health setting.

- Understanding of health insurance policy terminology (i.e, deductibles, co-pays, co-

insurance)

- Excellent communication skills, both written and verbal, with a compassionate and

empathetic demeanor.

- Strong organizational abilities and attention to detail, with the ability to multitask and

prioritize tasks effectively.

- Proficiency with computer systems and software, including electronic medical records and

Microsoft Office Suite.

- Knowledge of HIPAA regulations and other relevant privacy laws and standards.

- A passion for mental health advocacy and a genuine interest in the healing potential of

psychedelic therapy.

- Ability to work collaboratively in a team environment while also being self-motivated and

proactive.
