SUMMARY: The purpose of the school office manager position is to provide complex administrative
and secretarial support to Principal; overseeing the day-to-day school office activities and relieving the
Principal of administrative details; monitoring assigned activities; and providing information,
recommendations and/or direction as may be requested by Principal.
ESSENTIAL DUTIES & RESPONSIBILITIES:

  • Oversees day-to-day office workload and supervises student workers for the purpose of ensuring
the completion of activities in an accurate and timely manner.
  • Responds to inquiries from a variety of internal and external parties (e.g., staff, parents, students,
public agencies) for the purpose of providing information or direction and/or facilitating
communication among parties within 24 hours.
  • Coordinates daily substitute activities (certificated and non-certificated) for the purpose of
ensuring that staff absences are covered in a timely manner and that student safety and
educational process needs are met.
  • Collects and reports timesheets for staff that are not on Open Time Clock.
  • Answer telephones and give information to callers or route call to appropriate officials, forwards
caller to voicemail.
  • Update the greeting on the phone
  • Check students on and off campus
  • Picks up mail and disseminates accordingly
  • Responds to or gathers information for administration regarding questions, concerns,
complaints.
  • Collects and logs payments for a variety of events (e.g., tuition, student council, donations, fines,
fees, fundraisers) for the purpose of completing transactions and/or securing funds.
  • Monitors students referred for illness or those referred for disciplinary action for the purpose of
ensuring student welfare and maintaining a secure office environment.
  • Administers first aid to students, as per policy, for the purpose of providing emergency and
necessary care in compliance with established guidelines.
  • Maintaining a list of First Aid and CPR renewal dates for the school staff
  • Monitors and maintains student applications and enrollment on RenWeb.
  • Compiles data from a variety of sources (e.g., enrollment reports, specialized reports, ISAAP

records) for the purpose of processing data in compliance with financial, legal and/or
administrative requirements.

  • Composes a variety of documents (e.g., Cougar Trax, correspondence, agendas, minutes,
newsletters, fliers, bulletins, reports) for the purpose of communicating information and/or
creating documentation in conformance with established guidelines.
  • Coordinates a variety of projects, functions and/or program components (e.g„ facility usage,
guest teachers, meetings, in-service events, parent teacher conferences, travel and
accommodations) for the purpose of completing activities and/or delivering services in a timely
fashion.
  • Maintains and regularly updates a wide variety of manual and electronic documents files and
records (e.g., student registration data, ISAAP data, student health forms, school calendar,
financial records, disaster, earthquake plans and reports) for the purpose of providing up-to-date
information and/or historical reference in accordance with established administrative guidelines
and legal requirements.
  • Monitors a variety of activities on behalf of assigned Administrator (e.g., Smart Tuition account
balances, work order status, special projects, maintenance work) for the purpose of achieving
goals and meeting target dates.
  • Prepares a wide variety of reports, documents, and correspondence of a confidential and
nonconfidential nature (e.g., letters, memorandums, meeting minutes, charts, operational
procedures, manuals, student handbook, staff handbook) for the purpose of documenting
activities, providing written reference, and/or conveying information.
  • Processes documents and materials for the purpose of disseminating information in compliance
with school requirements.
  • Maintain office equipment, and order supplies/materials for the purpose of maintaining
availability of required items.
  • Researches a variety of topics (e.g., current practices, policies, education codes) for the purpose
of providing information and/or recommendations and/or addressing a variety of administrative
requirements.
  • Supports principal and other assigned administrative personnel for the purpose of providing
assistance with their functions and responsibilities.
  • Performs other related duties as assigned for the purpose of ensuring the efficient and effective
functioning of the work unit as requested by the principal.

JOB SPECIFICATIONS:
To perform this job successfully, an individual must be able to perform each essential duty with judgment,
creativity, discretion, and use of intellectual ability. The requirements listed below are representative of
the knowledge, skill, ability required, physical, and work environment. Responsibilities include working
under limited supervision using standardized practices and/or methods; directing other persons within
a small work unit; and tracking budget expenditures. Utilization of resources from other work units is
often required to perform the job's functions. Ability to be flexible and pivot when needed, work under
pressure, perform a wide range of tasks, and expect other assigned duties. There is a continual

Education and/or Experience
A bachelor's degree is preferred; two or more years of college are required and/or an equivalent
combination of education and experience. Prior experience with office management or secretarial
duties is preferred. Knowledge of or quick learning of numerous computer programs is required.
Certificates in first aid and CPR are preferred.

Language Skills
Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write
simple correspondence. Ability to effectively present information in one-on-one and small group situations
to customers, clients, and other employees of the organization.
Mathematical Skills
Required to perform basic math, including calculations using fractions, percents, and/or ratios; ability to
perform these operations using units of American money and weight measurement, volume and distance.
Reasoning Ability
Ability to apply common sense understanding to carry out detailed but uninvolved written and oral
instructions. Must possess the ability to deal with nonverbal symbolism and to deal with a variety of
abstract and concrete variables. required to schedule a number of activities, meetings, and/or events;
gather, collate, and/or classify data; and use basic, job-related equipment. Flexibility is required to
independently work with others in a wide variety of circumstances; work with data utilizing defined but
different processes; and operate equipment using standardized methods. Ability is also required to
work with a diversity of individuals and/or groups, work with a variety of data. Problem solving is
required to identify issues and create action plans. Problem solving with data requires independent
interpretation of guidelines; and problem solving with equipment is limited to moderate. Specific
ability-based competencies required to satisfactorily perform the functions of the job include working
independently; communicating with diverse groups; maintaining confidentiality; meeting deadlines and
schedules; working with constant interruptions; setting priorities; and establishing and maintaining
effective working relationships.

Other Skills and Abilities
Typing skills of 50 WPM and knowledge of various word processing programs is necessary. Must possess
skills in working with culturally and ethnically diverse groups. read technical information, compose a
variety of documents, and/or facilitate group discussions; and analyze situations to define issues and
draw conclusions. Specific knowledge-based competencies required to satisfactorily perform the
functions of the job include business telephone etiquette; concepts of grammar and punctuation; and
pertinent codes and regulations and familiarity and knowledge of office equipment.
Physical Demands
While performing the duties of this Job, the employee is regularly required to stand; walk; sit; use hands
to finger, handle, or feel; reach with hands and arms; climb or balance; stoop, kneel, crouch, or crawl;
talk or hear and taste or smell. This job requires the frequent use of keyboard and mouse. The employee
must occasionally lift and/or move up to 30 pounds. Assistance should be requested when lifting
requirements exceed 30 pounds. Specific vision abilities required by this job include close vision,
distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.

Work Environment
Essential responsibilities are performed primarily in a sedentary and comfortable manner. Tasks are
usually performed under normal office conditions with little or no noticeable discomfort, with the noise
level at a moderate tone. Work area is well lit and ventilated. Overtime is never permitted without
supervisor’s prior approval.
