Programs Assistant (Limited-Term, Preferred Candidate).
Applications will be accepted until 2/4/2023.The Center for Civic Innovation (CCI) works with campus and community partners to help build multi-disciplinary research and education projects that improve infrastructure, public services, and environmental sustainability in the region. The Programs Assistant will be integral to supporting key functions of CCIs Internship, K-12 Outreach, and Educational Programs that engage UND students, faculty, staff, and partners with CCI's mission.
This is a 2 year, limited-term position with possibility for renewal based on funding. A preferred candidate has been identified for this position.The CCI Programs Assistant will be responsible for:
- Facilities coordination: Receives guests and answers general questions. Maintains the room reservation calendar. Assists with use of meeting rooms by students, faculty, staff and community partners which may include unlocking meeting spaces, AV Technology set-up, and other assistance as needed. Keeps records of key distribution, building access, alarm code access, and gate remotes. Orders janitorial and other building supplies. Works with vendors to ensure all facility maintenance is scheduled.
- Event planning: Coordinating event dates with internal and external stakeholders, reserving rooms/venues, inviting speakers and attendees, planning and ordering food and beverage, sending event reminders, works with partners requesting CCI event spaces to ensure payments and agreements are processed and event details are coordinated
- CCI Administrative Support: Schedules meetings, keeps an updated database CCI contacts, responds to general requests for information via phone calls and emails, maintains organization of office supplies and orders supplies, assists with travel arrangements.
- Financial Administration Support: Generates and processes all accounts payable and receivable, hiring documents, expense/travel reimbursements, and other financial forms.
- Educational Programs Support: During the Academic Year, set up classrooms and get snack ready, assist in coordinating volunteers, attend tutoring sessions with student participants, update lesson plans according to tutoring schedule and student advancements, help prepare documents for mid-term and final testing, drive a carpool occasionally, assist with art, science and other enrichment activities, document participant attendance.
Minimum Qualifications:Associates Degree or up to 3 years of college or technical school
1 to 2 years professional experience
Punctuality, dependability, and attention to detail
Strong written and verbal communication skills
Ability to learn new computer software and systems
Ability to work with a diverse team
Valid drivers license and reliable transportation required
Preferred Qualifications:Bachelors Degree preferred
