- Reviews daily the report of orders on hold or over limit.
- Checks computer to verify if payment is still due.
- Calls delinquent accounts and negotiates payment schedule if necessary.
- Notifies supervisor of problem accounts.
- Research debit memos taken by customers.
- Sends "Demand Letters" with the approval of Controller.
- Communicates with collection agency when they take over delinquent accounts.
- Obtains credit requests from sales department.
- Reviews past credit history of current customers.
- Approves credit limit for current customers.
- Notifies supervisor of credit limit problems.
- Checks credit rating on potential new customers.
- Obtains credit references, as needed.
- Establishes credit limit for new customers and creates a file for each new customer.
- Sends new customer letters to all new customers.
- Contacts 'check in advance' customers to determine payment schedule.
- Reviews terms of Purchase Orders for bid packages to customers
- Sends out P.O. denial letters to customers requesting signed terms agreement.
- Processes credit card orders, settles credit card orders each week.
- Provides weekly staff meeting reports - delinquent accounts receivable, weekly invoicing summary and pro forma invoices.
- Prepares credit memos for customers as requested.
- Fills out W-9 requests and vendor surveys, as requested.
- Obtains customer sales tax exemption certificates and logs in as complete.
- Other duties as requested by management.
- Bachelor's degree with a major in business, accounting, or finance
- Must have good Excel skills (pivot tables, Macros, V-Lookups)
- Knowledge of commonly used Accounts Receivable concepts, practices, and procedures
- Ability to work in fast paced, collaborative team environment.
- Minimum of 2 years of experience in accounts receivable, finance, accounting, banking, or customer service
