Administrative Coordinator

Description of Position 

Conferences and Events is seeking applications for an Administrative Coordinator. The Administrative Coordinator will manage the Conferences and Events front- office operations, and provide technical staff support for campus scheduling and event planning activities. The Administrative Coordinator will work a regular daytime shift as well as some evenings and weekends as needed to execute the needs of event clients. The Administrative Coordinator manages and coordinates the crew schedule with the Director and his/her designees, and supervises and directs crew for events and conferences under their authority. 

This Administrative Coordinator is supervised by the Director of Conferences and Events and works in conjunction with the support staff. This position is an hourly, twelve- month, full-time position.

Essential Functions:

  • Provides training and technical assistance to campus and external clients in the use of the campus calendaring system.
  • Assists the Director by performing calendar analysis and balancing event resource load with Campus Resources using criteria set by the Director. 
  • Receives, prioritizes and manages the execution of requests for all campus special events, including non-athletic event requests for use of athletic facilities. Approve events as appropriate. Refer requests for review by the Conference and Events Director, Registrar’s Office, Athletics, and the Master Calendar Committee as appropriate. 
  • Serves as the primary contact for external clients and performs site visits and client walkthroughs with Technical Director and/or Technical Director’s designees. 
  • Coordinates facilities reservations with Registrar’s Office. 
  • Trains and supervises student and temporary office staff in procedures and data-entry, including (but not limited to) campus calendaring system, financial management, file management, contracting, and invoicing of clients.
  • Manages the dissemination of necessary information to appropriate campus services (Information Technology, Facility Services, Campus Dining Services, Security and Switchboard) as needed to ensure proper execution of events. 
  • Coordinates and directs hospitality arrangements (dorm room reservation, linen service, dorm cleaning and access) between summer conference clients and campus service departments. 
  • Coordinates with Director and Marketing Department to develop and implement marketing strategies for relevant Brandt Center Programs. 
  • Performs other duties as assigned.

Requirements

Minimum Qualifications 

  • The University requires that all candidates be Christians (preferably in the Wesleyan tradition), and must be comfortable with, in agreement with the mission and lifestyle values of NNU
  • Ability to multi-task, identify risks, manage resources, and negotiate with other NNU resource control points to ensure all events are executed properly
  • Availability to work evenings and/or weekends as needed 
  • Strong desire to foster, maintain and support good working relationships with others 
  • Ability to read, write, and effectively communicate 
  • Ability to sit for extended periods of time 
  • Ability to view a computer screen for extended periods of time 

Compensation

The salary will be determined by the educational background and experience of each applicant and will be discussed with individual candidates as they are invited to interview for this position.
