Description
Position Summary:
The Controller is a key member of the management team, reporting directly to the General Manager.
This role encompasses comprehensive oversight of accounting, financial reporting, auditing, taxes,
Human Resources, and compliance. The ideal candidate demonstrates meticulous
attention to detail, exceptional organizational abilities, and a commitment to upholding the
highest standards of financial integrity.
Responsibilities and Duties:
Financial Management:
• Manage all aspects of accounts receivable, including Member billing, payments, insurance
reimbursements, and vendor credits.
• Oversee accounts payable, including payments to outside vendors and contractors. Prepare and
issue 1099s, insurance paperwork, and other necessary documentation.
• Reconcile accounts and generate monthly financial statements, including aging reports, cash
projections, trail balance, income statements, and financial forecasts, in a timely manner for
review by the General Manager and presentation to the Board of Governors.
• Monitor cash flow and budgeting to ensure the Club has sufficient funds to meet its obligations
and operational needs. Implement cost control measures to improve efficiency as needed. Track
departmental budgets and spending for operational and capital projects as directed by the
General Manager and Board.
• Monitors collection of past due accounts advises general manager and board when difficult
situations arise.
• Prepare and file monthly NYS Sales & Use Tax and Quarterly taxes, as well as coordinate audits.
• Prepare a full report of the year’s financial operations for presentation at the annual meeting.
• Compile and submit required information to auditors and outside accountants for 990 filings and
yearly tax obligations.
• Collaborate with TPA, Financial Advisor, and General Manager on 401K management.
Human Resources
• Manage onboarding processes for all new employees, including approximately 70 seasonal hires.
• Process weekly payroll for both year-round and seasonal employees, including bank transfers,
401K remittances, and other payroll-related tasks.
• Ensure compliance with labor laws, maintaining and updating employee handbooks and benefit
packages.
• Administer and track eligibility for group 401k plans, insurance, and other employee benefits.
• Maintain positive relationships with all department heads, Members, and staff. Implement and
enforce HR policies and procedures to ensure a positive and productive work environment for all
staff, vendors, contractors, and Members.
• Together with the General Manager oversee employee relations and address any HR-related issues
or concerns in a timely and professional manner.
Other
• Prepare and maintain necessary licensing and permit information for all Club departments (e.g.,
food service, pool, liquor).
• Direct and verify the taking of inventories for beverages, food, supplies, merchandise, and other
club assets.
• Identify and assess any financial or compliance risks for the Club and develop strategies to
mitigate them. Ensure compliance with relevant regulations, accounting standards, and internal
policies.
• Cultivate working relationships with external local agencies, including insurance agents, banking
institutions, investment advisors, and other professionals as required.
• Maintain organized and accessible files in accordance with the Club’s record retention policy.
Requirements
Requirements/Qualifications:
Experience:
• Minimum of 5 years of progressive experience in accounting and financial management
roles, preferably in the private Club industry or a similar setting.
• Prior experience with HR and payroll administration.
Skills
• Proficiency in QuickBooks Online, Microsoft 365, Paylocity (or other web-based
HR/payroll services)
• Familiarity with financial reporting standards, tax regulations and compliance
requirements
• Exceptional attention to detail and accuracy
• Excellent verbal and written communication skills
• Strong interpersonal skills with the ability to collaborate with staff and Members
