Job Description:

We are seeking an organized and detail-oriented individual to join our team as an Bookkeeper / Office Manager. In this role you will support the day-to-day operations of our office while maintaining accurate financial records and performing all accounting tasks.

Responsibilities:

Finance and Accounting

  • Maintain accurate and up-to-date financial records in Quickbooks
  • Reconcile and process accounts payable and receivable
  • Prepare bank deposits and reconciliation of deposits
  • Reconcile and prepare monthly and annual financial reports
  • Communicate effectively with board and staff regarding issues that impact financials
  • Ensure compliance with all applicable federal, state, and local laws, as well as company policies and procedures
  • Manage preparation and oversight of the outsourced 990 provider; provide information requested by the outsourced provider and review
  • Ensure all non 990-related tax returns (federal, state, county and local) are filed timely and preparation of W-2 forms and 1099's
  • Support preparation annual organizational budget and five year financial planning
  • Facilitate annual CPA audit
  • Renew insurance applications
  • Perform other related bookkeeping tasks as assigned, assist in special projects as the need arises

Office Management and Administration

  • Attend and support board, committee, and staff meetings, prepare materials as required
  • Manage and maintain CRM database, ensure accurate supporter data, process donor acknowledgements, support donor stewardship
  • Provide direct supervision to the organization’s IT consultant and other office services such as cleaning services
  • Ensure functioning technology systems (cloud server, printer, communication tools, security, passwords)
  • Track and renew various business certifications
  • Manage office equipment, computer hardware, and computer software
  • Ensure implementation of document management system
  • Manage office supply budget and order supplies as needed
  • Open and distribute mail
  • Greet and direct all office guests
  • Manage office maintenance and ensure the office maintains a professional and tidy environment

Job Type: Part-time

Pay: $32.00 - $37.00 per hour

Expected hours: 20 per week
