LC State invites applications for the position of Management Assistant.

Salary and rank based on experience and qualifications: $20.50 to $24.04 per hour

Required Qualifications:

  • Minimum of five years with increasing responsibilities in administrative/secretarial positions
  • Excellent customer service and public relations skills
  • Proficient in Microsoft Office Suite, specifically Word, Excel Publisher, and Outlook
  • Experience storing, retrieving, and compiling information using database and spreadsheet software
  • Ability to organize, plan, and manage complex logistics along with a proven ability to work independently and under pressure
  • Detail-oriented and able to complete time-sensitive tasks in an accurate and efficient manner
  • Demonstrated ability to work autonomously and within a fast-paced dynamic team group

Preferred Qualifications:

  • Associate's degree from a regionally accredited college or university
  • Experience working at an institution of higher education
  • Experience monitoring and managing budget processes
  • Office management and supervisory experience

Responsibilities:

This is a classified, exempt position. This person will report directly to the Professional & Graduate Studies Dean, providing administrative support and oversight for the Dean and Associate Dean of SPS. Responsibilities include performing a variety of professional and administrative duties that facilitate the day-to-day operations of the School of Professional & Graduate Studies. Oversees and communicates information to the division administrative assistants. Prepares, processes, and monitors budgets, project proposals, records, and invoices. Researches and compiles information for reports and presentations. Assists in program planning and development; interprets, monitors, and analyzes information regarding operating policies and procedures. Resolves problems that have a significant impact on the overall goals of the department.

The Management Assistant assists in a variety of duties that enable the deans and other administrators to function effectively. This individual interacts with other campus administrators, faculty, staff, students, and visitors to campus. They supervise part-time student office assistants, collaborate with other staff on assignments and projects, and mentor and provide training to new Administrative Assistants within Professional & Graduate Studies.

Leads meetings addressing specific operational issues and develops recommendations and action plans towards their resolution. Processes employee transactions, and may assist in investigating employee issues or concerns and in determining an appropriate course of action. Oversees ordering of equipment and supplies.

Authority to coordinate non-routine secretarial and clerical activities. Compose letters, correspondence, and memos requiring independent judgment as to content; compile and analyze information from a variety of sources to prepare reports. Utilize computing (with Microsoft Office Word and Excel) to create, process, file, and maintain a variety of documents and administrative records containing technical information. Schedule and coordinate arrangements for meetings and conferences. Act as a liaison between the organizational unit and external customers. Knowledgeable of multiple procedures and program requirements to respond to inquiries, and explain policies, procedures, and rationale for decisions to other personnel. Propose new or revised procedures as needed. Responsibility for financial record keeping including monitoring budgets and preparing financial transactions.

Additional duties include direct and indirect activities to support recruitment and retention of students.
