POSITION DESCRIPTION

Project Coordinator/Engineer duties and responsibilities include providing administrative support to project managers, schedulers and field crews. Supports managers and employees through a variety of tasks related to organization and communication. Responsible for confidential and time sensitive material. Familiar with a variety of the field's concepts, practices, and procedures.

Ability to effectively communicate via phone and email ensuring that all duties are completed accurately and delivered with high quality and in a timely manner. May direct and lead the work of others. Rely on experience and judgment to plan and accomplish goals and a wide degree of creativity and latitude is expected. Typically reports to a manager or head of a unit/department.

ESSENTIAL DUTIES & RESPONSIBILITIES

  • Work with APM Manager to help organize crews, equipment, inventory, and projects.
  • Maintain and keep project schedule up to date.
  • Organize and schedule meetings and appointments as necessary.
  • Collect and review daily job tickets, verify quantities, and work that was completed.
  • Work with General Contractors, Engineers or customers (preconstruction meetings, quantity verification)
  • Collect and review DVIR’s (Driver Vehicle Inspection Reports)
  • Maintain equipment and vehicle binders.
  • Aide in reviewing, processing and maintain contracts.
  • Collect and submit product certifications.
  • Issue POs for purchases
  • Aide in the project estimating process. (Locate and download potential bids, update bid list, assemble bid packets, submit bids, collect bid results, update spreadsheets and tracking/estimating software)
  • Maintain APM inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies; confirm products are labeled and assigned to projects.
  • Carry out administrative duties such as filing, typing, copying, binding, scanning, etc.
  • Maintain computer and manual filing systems.
  • Handle sensitive information in a confidential manner.
  • Assist in other tasks as necessary.

QUALIFICATIONS

  • Proven admin or project assistant experience
  • Excellent time management skills and ability to multi-task and prioritize work.
  • Attention to detail and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Strong organizational and planning skills
  • Proficient in MS Office (Word, Excel, Teams)
  • High school diploma or equivalent
