Job Summary

The Accounting Assistant provides support with various accounting functions necessary to perform duties associated within the financial and accounting areas by creating, reviewing, processing, and posting accurate and timely financial records and reconciliations for DCCCA within the constraints of defined controls, policies, and procedures. They will keep thorough and accurate files and documentation, following DCCCA practices to maximize accurate and prompt billings required to receive payment of claims. The Accounting Assistant will have primary responsibilities for one or more of the financial operations functions or tasks listed. 

Essential Functions

Child Welfare System:

-Applies State payments to corresponding the accounts receivable created in the Child Welfare system.

-In conjunction with program staff, monitors, researches, and decides best actions for outstanding accounts in the Child Welfare system.

-Assists with paying foster parents or billing non-DCF payers.

Behavioral Health Billing System:

-Manages the accuracy, quality, and timeliness of billing according to specific contractual terms; requires a working knowledge of managed care, commercial insurance and Medicaid billings, and the ability to interpret explanation of benefit reports. 

-Reads claims using the EMS claim reader software prior to 837 submissions.

-Submits 837 electronic claims on time through Care Logic. Prepares UB04 and CMS1500 paper claims if needed and mails to payers. Prepares the monthly USPO billing and compiles all documentation for this billing. 

-Applies cash receipts, checks, ACH and 835 files of client payments into Care Logic when received.

-Monitors outstanding accounts and takes proper action to follow up when necessary.

-Performs Care Logic administrative functions such as claim reversals, authorization overrides, claim adjustments and claim write-offs.

Miscellaneous/Other Duties:

-Performs other miscellaneous billings and tasks as needed, such as working with appropriate staff to prepare and submit monthly and yearly tasks for KSDE Food Program billing.

-Compiles vehicle expense tracking and journal entries (vehicle logs, KTAGS, etc.).

-Makes cash bank deposits as needed.

-Provides back-up coverage for other team members' accounting and finance functions and duties.

-Serve on a DCCCA Strategic Change team or one or more of DCCCA's leadership initiatives.

-Participates in accreditation activities and processes.

Education, Experience, and Licensure

-Requires at least two years of relevant job experience.

-Must have a basic understanding of accounting principles and general office applications.

-Requires a high school diploma or general education diploma (GED).

-Must possess a valid state Driver's License, in force automobile liability insurance, and maintain a Motor Vehicle Record (MVR) that meets organization's insurability standard as defined by DCCCA policy. Availability of reliable transportation is required for this position.

The Accounting Assistant must take ownership in their position, be a "self-starter" who can both work independently with minimal direct supervision, as well as with others in a group or team, and possess the ability to remain flexible despite interruptions and/or routine changes to priorities and/or job duties. Accounting Assistants should have the ability to: 

-Work well in a collaborative environment.

-Possess excellent customer service skills and the ability to respond professionally in an efficient and correct manner. 

-Must have the ability to keep working relationships positive with a diverse group of people. 

-Organize a large quantity and variety of requests and deadlines and has strong organizational skills, time management and detail-oriented skills. Must have flexibility and adaptability to quickly shift priorities as needed and plan for deadlines with minimal supervision.

-Work overtime when necessary to meet department deadlines.

-Maintain the confidentiality of all sensitive information related to DCCCA's operations or customer records.

-Demonstrate the highest level of ethical behavior.

-Effective listening, oral, and written communication skills, including face-to-face, on-site, in person discussions. Exercises appropriate use of positive language.

-Regular and predictable on-site attendance.

-Proficiency with computers and Microsoft suite of products including Microsoft Word, Outlook, Excel, and PowerPoint.

-Ability to efficiently operate other office equipment such as telephones, voicemail systems, copy and fax machines, and scanners.

Travel

This position requires travel, which may include driving personal or company-owned vehicles. It may also include driving with other passengers in the vehicle, and/or driving as a passenger with other drivers. Note: Even with a valid driver's license, certain motor vehicle infractions may render individual's ineligible to drive company-owned or personal vehicles for company business. Such infractions may also disqualify employees from continued employment with DCCCA, Inc. This position is considered to be a safety-sensitive position.
