Community West Church is Hiring an Executive Administrative Assistant (Part-time) Near Henrico, VA

Title: Executive Administrative Assistant (Part Time)

Hours/Schedule: 20 hours per week; preferred schedule 10AM-4PM Monday-Thursday with hour lunch

Purpose: Provides administrative support for pastor(s), other ministry staff, and volunteer leaders for Community West Church. Exercises creativity and sound judgment without close supervision, coordinating and organizing ministry tasks and staff support. Utilizes expertise in computer applications such as word processing, spreadsheets, presentations, database and website updates.

Accountable: to the Lead Pastor

Key Responsibilities:

  • Maintains Community West calendar, answers main office phone, greets and screens visitors, monitors office voicemail and church emails.
  • Train and oversee administrative volunteers.
  • Works with, and maintains, office printers, files and mailing lists.
  • Maintains well-stocked supply room/area, and supplies for kitchen.
  • Prepares weekly worship guide.
  • Weekly worship guides for outdoor worship include all hymns/lyrics.
  • Indoor worship guides will be a shorter format when utilizing projectors and screens for worship.
  • Supports planning for Sunday morning (i.e. updating sermon series on Services, coordinating drape on Cross, communicating special Sunday details to volunteer teams).
  • Prepares and sends weekly Sunday memo email.
  • Supports regular communication with Community West congregation via email announcements and weekly e-newsletters.
  • Regularly updates and maintains church website and Church Center App.
  • Facilitates print media pieces on as-needed basis (i.e. business cards, letterhead, postcards, etc.).
  • Provides administrative support to Home Group leaders, Sunday Morning Volunteer teams, and other volunteer groups (i.e. Capital Campaign team, Student Ministry team, Music team) as needed.
  • Facilitates Community West congregation’s use of church database, along with maintaining database, as needed.
  • Facilitates membership process (i.e. production of Discover Community West materials, sending membership transfer request letters, etc.).
  • Coordinates special events and projects, as well as drafting needed correspondence.
  • Collect and organize charitable gifts, make the bank deposit, and send all information to our Financial Office Manager. Create Acknowledgement Letters when appropriate.
  • Process invoices by obtaining payment approval (when necessary) and sending to our Financial Office Manager.
  • Process Reimbursement Requests as they arrive to church office via email, worship bin (after Sunday Service), or USPS mail.
  • Admin will fill out and attach a Reimbursement Request Form, obtain Pastor’s approval signature, scan and email to Financial Office Manager, then file paperwork.
  • Works with Financial Officer to reconcile receipts and records for Pastor’s and church staff’s corporate credit cards.
  • Trained to assume all responsibilities of facility and land rental requests.
  • When a Volunteer Facility and Land Rental Coordinator is in place, Admin will work with this volunteer in sharing the duties of Facility and Land Rental requests for events at the building, pavilion, and surrounding land.
  • Admin will assist with payments, calendar scheduling, and updates on the church calendar for these events in a support capacity if an acting Volunteer Facility and Land Rental Coordinator needs assistance in these areas.
  • Facilitate the creation of banners and signage, if/when needed.
  • Assists with special projects that may surface outside of regular weekly duties.
  • Willing, and able, to multitask and accept the role of point person, as needed

  • Understands and embraces the ministry philosophy of Community West Church.
  • Demonstrates an enthusiasm for, and willingness to embrace, Community West’s evangelistic mission in West Richmond and beyond.
  • Demonstrates flexibility and a willingness to undertake the unique demands of a growing and flourishing church in West End Richmond.
  • Demonstrates the ability to multitask and enjoys varied tasks throughout each day/week.
  • Able to take initiative and prioritize daily responsibilities, as well as able to anticipate and problem solve upcoming tasks outside of normal daily tasks.
  • Works efficiently, is honest, dependable, and good with follow-through
  • Able to extend his/herself in a manner of hospitality when greeting any visitors coming into the church office
  • Remains teachable and humble, with a heart to serve.
  • Contributes to a healthy staff culture where staff enjoy each other, and are willing to admit their sin and failings to each other and be reconciled.
  • Demonstrates good interpersonal skills when relating to congregation members and other church staff.

Wage/Salary Range:

$18-$23 (Commensurate with Experience)

Job Type: Part-time

Pay: $18.00 - $23.00 per hour

Expected hours: 20 per week

  • Monday to Friday
