The Project Administrator will assist the Operations Manager with ensuring all activities required to deliver a successful project and meet company goals: safety, quality, schedule, financial, owner reputation, and compliance.

Assist with procurement, subcontractor management, vehicle management, new project set up, monthly payments, insurance, and ad hoc duties as assigned.
Procurement responsibilities will include the full purchasing process starting from entering the purchase orders in CMIC with required quotes and price analysis. Distribution and follow up with vendors for signature and final execution of the documents. Processing of delivery tickets, tax exempt status, invoice processing and resolving invoice conflicts with input from the project teams.
Subcontractor management includes entering the subcontract information in CMiC with required quotes and price analysis. Distribution and follow up with subcontractors for signature and final execution of the documents. Processing of monthly pay requisitions including AIA documents, certified payrolls, lien waivers, insurance and union letters of good standing verification. Process also requires resolving requisition conflicts with input from the project teams including obtaining monthly accrual values. Change orders will be added in a similar manner. As applicable, MWBE/DBE reporting is required for certain subcontractors.
Vehicle management includes insurance and registration, motor vehicle tax mileage verification and project specific coding for depreciation.
New project setup will include coordinating the setup of the project folders/drive as well as owner required documentation such as qualification packages and insurance related documentation such as OCIP enrollment. Involvement with establishing control budgets, new cost codes and budget changes.
Monthly owner payments will be processed each month with standard AIA requisitions, J-Track and subcontractor certified payrolls and affidavits to create a full monthly payment package. Owner required reporting also includes OCIP, EEO, MWDBE documentation.
