Pamlico Community College is Hiring a Program Support Coordinator Near Grantsboro, NC

Under the direct supervision and guidance of the Director of Institutional Effectiveness, the Program Support Coordinator plays a crucial role in supporting institutional effectiveness, accreditation efforts, and the administration of the Quality Enhancement Plan (QEP). This position ensures college compliance with North Carolina Community College System policies and SACSCOC standards through close collaboration with the Director of Institutional Effectiveness.

The Program Support Coordinator is also responsible for providing comprehensive administrative support to the Instructional Division, which includes the Vice President of Instructional Services (VPIS), Academic Chairs, the Coordinator of Distance Learning, and faculty at both the campus and Bayboro Center. Responsibilities include assisting with faculty and committee meetings, maintaining records, ordering supplies, and supporting program development and implementation.

Additionally, the Program Support Coordinator oversees the scheduling and topics of self-support Cultural Enrichment Courses. This role involves working collaboratively with the Chair of Continuing Education and Technical Programs to develop courses that meet the needs and interests of the community while ensuring compliance with college and North Carolina Community College System policies.

Work Experience Requirements:

  • Expertise with the operation of computer software programs (e.g., Microsoft Office).
  • Colleague/Datatel experience preferred.
  • Maintain a high level of professionalism with students, staff, faculty, and external organizations.

  • Knowledge of office administration principles, practices, and methods.
  • Knowledge of Moodle Learning Management System.
  • Familiarity with the community college environment and E-procurement.

Education Requirements:

  • Associate's degree or at least two years of experience working with the community college system.

Specific Responsibilities include, but are not limited to:

  • Assist instructors by meeting classes to take attendance, proctor tests, and relay assignments in a faculty member’s absence.
  • Support the VPIS and faculty with mail, duplication needs, and other duties as time allows.
  • Attend faculty and committee meetings as instructed by the VPIS, record minutes, and assist with scheduling and recording Advisory Committee meetings.
  • Order supplies and equipment, process travel requests for the VPIS, Chairs, and faculty.
  • File, maintain, and properly dispose of class syllabi and files for VPIS.
  • Provide administrative support to Allied Health accredited programs.
  • Maintain Brinson, Delamar, and Johnson copiers by ensuring they are supplied with paper, calling the service company for maintenance, and collecting copier readings to submit to the Business Office and service company.
  • Order paper from central supply and maintain toner supplies for campus computer labs.

Institutional Effectiveness Support

  • Support the annual institutional planning process including Intensive Program Reviews, Non-Academic Reviews, Course Learning Outcome assessment, Program Learning Outcomes assessment, the annual Strategic Plan assessment, and the QEP assessment plan.
  • Maintain awareness of campus activities related to SACSCOC principles and standards; support ongoing accreditation efforts, including assistance with SACSCOC reporting requirements and preparation for Reaffirmation and the Interim Report.
  • Assist with maintaining curriculum faculty credentials.
  • Coordinate with the Director of Institutional Effectiveness to provide faculty support for assessment-related tasks.
  • Support the Director of Institutional Effectiveness in the administration of grants.

QEP Director

  • Oversee the implementation of the QEP "Learning Like a BOSS at PCC."
  • Facilitate cooperation and communication between all areas involved in implementing QEP activities within an established timeline.
  • Lead "Learning Like a BOSS at PCC" Stage III implementation by chairing the steering committee, coordinating regular meetings, and ensuring effective communication between team members.
  • Serve as a liaison between the QEP Implementation Committee and other college committees.
  • Provide information to the Director of Public Affairs for timely college-wide communication/updates regarding the QEP.
  • Work closely with the Director of Institutional Effectiveness in coordinating QEP assessment activities to monitor and evaluate the QEP; prepare formative and summative reports.
  • Collaborate with the Director of Institutional Effectiveness to ensure proper administration of instruments used to assess the QEP.
  • Track budget items related to the QEP; consult monthly with the Chief Academic Officer on the status of the budget.
  • Communicate vital information about the QEP, including important dates, accomplishments, and findings with the college community.

Coordinator of Cultural Enrichment Courses

  • Create and maintain CE Cultural Enrichment course schedules; provide details to the Chair of Continuing Education and Technical Programs.
  • Ensure all paperwork for cultural enrichment classes (registration forms, rosters, attendance sheets, instructor contracts, course outlines, etc.) is complete and accurate.
  • Supervise instructors in these classes and focus on program development.
  • Organize all student records for timely submission to the Coordinator of Continuing Education.
  • Register students for courses, provide payment methods to the business office cashier, and collect/secure payments when registration occurs offsite.

Other Job Functions

  • Provide the highest level of customer service to customers, stakeholders, staff, and faculty.
  • Greet and direct college visitors to appropriate areas.
  • Independently perform tasks, recognize, and meet identified needs to improve the service and operations of the college.
  • Attend professional development activities.
  • Actively recruit students for the college.
  • Serve on assigned committees of the college.
  • Work cooperatively with all divisions and departments of the College to advance and support its mission.
  • Follow college policies and procedures.
