About the Position

We're seeking a full-time Office Manager to support our growing team of Specialists. Reporting to the Broker/Owner, the ideal candidate will be highly organized, proactive, and adaptable within a dynamic environment. They will oversee general office operations, provide administrative support, and contribute to the seamless performance of the brokerage.

Job Duties & Responsibilities (including but not limited to)

--Operations & Organization (40%)

  • Ensure smooth office operations – overseeing supplies & ordering, maintenance, office organization, and vendor relationships.
  • Oversee employee & independent contractor hiring process, documentation, compliance, and payroll (in conjunction with the bookkeeper & accountant).

--Transaction Management & Support (25%)

  • Monitor new listings and open house opportunities, ensuring coverage.
  • Review new listings and pending transactions for accuracy and compliance.
  • Process closing checks for distribution.

--Specialist Training & Onboarding (20%)

  • Support Specialists during pre-licensure, onboarding, and training to ensure seamless integration.
  • Serve as the primary point of contact for administrative support & communication.
  • Continuously update the SOP manuals within SystemHub SOP software.

--Systems Management (10%)

  • Oversee brokerage systems and software for efficiency.
  • Provide support and troubleshooting for systems as needed.
  • Maintain and update documentation and directories. 

--Meeting and Event Facilitation (5%)

  • Coordinate meetings / events in conjunction with various departments.
  • Facilitate weekly team meetings over Zoom & monthly in-person meetings.

  • Bachelor’s Degree in Business Administration (or related field)
  • 1 year of Customer Service and Office Management (preferred)
  • 1 year of Real Estate industry experience (preferred)
  • Real Estate License (preferred)

Job Type: Full-time (exempt), Monday to Friday, In-Office

Compensation: $48,000 - $55,000 annually (commensurate with experience)
