Program Assistant I

The Housing Opportunities Commission of Montgomery County (HOC) was established in 1974 to better respond to the County’s need for affordable housing. HOC is authorized to acquire, own, lease, and operate housing; to provide for the construction or renovation of housing; obtain financial assistance from any public or private source to assist its housing activities; and arrange for social services, resident services, and daycare.

Job Description:

The Program Assistant I will be responsible for providing administrative and customer service support to the Property Management Scattered Site staff. The incumbent will be responsible for triage calls and walk-ins from customers seeking housing and maintenance information. Word processing for letters, memos and other correspondence. Production of major documents/reports such as periodic mailings and reports on departmental activities.

Responsibilities:

  • Preparation and maintenance of various tracking reports, coordination of meetings, maintenance responses, and resident events.
  • Maintain and update scattered site housing information on the HOC website, create brochures, and flyers and other marketing materials.
  • Back-up phone and front desk coverage when needed.
  • Document scanning and maintenance of files.
  • Data entry, manipulation and creating spreadsheets/reports using Excel or Google Sheets.
  • Assisting in answering of general and routine questions to area of expertise.
  • Perform other duties as assigned.

Minimum Qualifications

Experience:

  • At least 2 years of administrative/secretarial experience in an office setting.

Education:

  • Associate degree or two years of college.
  • An equivalent combination of education and experience may be accepted

Knowledge, Skills & Abilities:

  • Possession of a valid driver's license.
  • Must be detail-oriented, have excellent organizational and interpersonal skills, and the ability to communicate effectively, both orally and in writing.
  • Ability to prioritize assignments to meet deadlines and be dependable and detail-oriented.
  • Must have good computer skills including proficiency with MS Office Suite.
  • Experience in database management using Excel, Google Sheets, and other data management programs.
  • Requires good written and oral communication skills. Knowledge of office policies, practices, and procedures.
  • Ability to work accurately and quickly.
  • Perform other related duties as assigned.

* Salary Range: Grade 14- Min: $44,244 - Max: $70,108| Salary determined by departmental budget- Offer commensurate with experience
