Center for Community Action is Hiring a Grants Coordinator Near Everett, PA

Essential Duties and Responsibilities: The Grants and Technology Coordinator will manage, distribute, and monitor all budgetary, contractual, and financial compliance of all Keys to Quality Grants. This position will work closely with the CCA Fiscal office, STARS Manager, and STARS Quality Coaches to assure quality control of Keys to Quality grants and funding opportunities.

Specific Duties:

  • Reviews and understands grant instructions and guidelines. Assists providers in understanding grant guidelines.
  • Answers client questions regarding grant applications and reporting.
  • Reviews provider grant applications, contracts, and agreements to assure appropriate language, guidelines and amounts are in place.
  • Collaborates with STARS Quality Coaches, STARS Manager and Fiscal staff in developing, compiling, reconciling, and balancing reports for ELRC 6/ Keystone STARS grant awards.
  • Communicates and collaborates with STARS Manager on status of grant award applications and payments.
  • Communicates regularly with the STARS Manager and CCA Fiscal Office staff regarding funding expenditures.
  • Tracks grant applications, status of applications and expenditures, creates reports and prepares accounts payable documentation for expenditures relating to all Keystone STARS grant award agreements.
  • Prepares all grant agreements for all Keystone STARS awards in collaboration with STARS Quality Coaches and the STARS Manager
  • Works to ensure fiscal integrity, accountability and adherence to proper auditing documentation and guidelines of the Keystone STARS program.
  • Verifies information on discrepancies with appropriate staff or vendor and makes corrections as warranted.
  • Conducts periodic site visits to grantees to complete grant monitoring (review and verify contract compliance.)
  • Maintains accurate and timely budget reports for all Keystone STARS grantees and for internal management.
  • Responds to any requests from DHS, Office of Child Development, regarding reports, analysis or questions on any grants issued.
  • Develops and maintains positive working relationships with staff and other ELRC partners.
  • Maintains complete, accurate and accessible automated and manual files, records, and databases, and prepares associated reports as required by government, funding source, and CCA management.
  • Ensures compliance with grant guidelines including all government, funding sources and CCA regulations and requirements.
  • Participates in internal and external professional development programs and opportunities to augment professional skills.
  • Assists in the creation of flyers for ELRC 6 events, and creation/ revision of forms and documents used by the KTQ program.
  • Assists providers with questions concerning technology including but not limited to how to upload documents, submit grants, and find professional development on the PD Registry
  • Provide one on one assistance to Quality Coaches and childcare providers concerning the use of technology.
  • Performs other such duties as may be required by the ELRC Director or Implementation or Operations Coordinator within the scope of the ELRC.
  • Assists Career Coach and PD Coordinator in scheduling professional development for quality coaches and childcare providers as needed- scheduling of venues, completes attendance tracking and reports in PD registry.
  • Assists on virtual trainings and meetings (helping participants with login, technical issues, attendance, minutes)
  • Responsible for the distribution of ELRC communications to providers (Facebook, e-mail distributions lists, newsletter, reminders for events, welcome letters for new programs, etc)
  • Assists with the purchase and distribution of supplies for KTQ staff and ELRC childcare providers as needed.
  • Coordinate travel arrangements and Hotel Reservations for ELRC KTQ staff as needed.
  • Creates STAR award certificates and letters and ensures that these are mailed according to established deadlines.
  • Organizes meetings, sends reminders, tracks attendance and distributes meeting notes for meetings including Leadership Council, monthly provider meetings, weekly KTQ staff meetings, etc
  • Answers phones for both KTQ and CCW calls, takes messages and/or forwards calls to the appropriate person to be answered. Provides basic information about the ELRC operations to clients.

Education and/or Work Experience Requirements:

  • Associate degree in accounting, business management or related field, or any combination of education and experience sufficient to demonstrate possession of the required knowledge, skills and abilities.
  • Two (2) years related experience in demonstrated area.
  • Ability to communicate effectively and work productively and collaboratively with employees, government agencies, service providers, program participants, human service organizations, educational institutions, and other key partners in a positive, professional, and pleasant manner in writing, by phone and in personal contacts.
  • Ability to maintain a high level of confidentiality and sensitivity in all working relationships.
  • Ability to organize, prioritize and establish schedules to accomplish program goals and evaluate the delivery of service and program objectives.
  • Ability to provide management with timely and accurate reports and recommendations.
  • Ability to maintain complete, accurate and accessible files and records.
  • Working knowledge of personal computers and networked systems and their use and application for database management, tracking, and reporting in a human services or similar environment.
  • Ability to plan, organize and carry out assignments and responsibilities on time, correctly, in a professional, effective, efficient, and independent manner.
  • This position requires availability and flexibility to participate in services, programs and activities during regularly scheduled workdays, evenings and weekends.
  • Valid driver’s license, reliable transportation, vehicle insurance in compliance with Agency standards of coverage, and willingness to travel in all the counties we serve, as well as, other counties as required.
  • Federal Bureau of Investigation (FBI) fingerprint processed in accordance with Public Law 92522 and Child Protective Services Law (Title 23, PA C.S. Chapter 63), Federal Criminal History Background Check
  • Pennsylvania Child Abuse History Clearance
  • PA State Police Report of Criminal History Clearance.

Job Type: Full-time

Pay: From $16.50 per hour

Expected hours: 35.00 per week
