Legal Assistant Job Description

We are a personal injury practice located in Dothan, Alabama, that specializes in motor vehicle accidents, trucking litigation, medical malpractice claims, and products liability claims. We are pleased to announce that our legal team is growing, and we are seeking applicants for a legal assistant, legal secretary, and/or paralegal position with the firm.

How this position fits into our Firm:

We are seeking someone to be part of the expanding personal injury practice. The right person for the job will be a go getter ready and eager to learn about personal injury case management and have a passion for customers service. This position would require performing a variety of legal secretarial and administrative duties for assigned attorney, many of which are unique to a legal environment and a working knowledge of legal concepts, terminology, and processes would be beneficial. This role would also assist with general office support and file organization.

The Essential Job Functions:

  • Communicate with clients, insurance companies, and medical providers regarding case status and essential elements of the personal injury cases.
  • Draft correspondence pursuant to attorney instruction to clients and external entities regarding the case, including letters of representation, medical and billing records requests, and subrogation inquiries.
  • Create and maintain files-both electronic and hard files- for individual cases and clients pursuant to attorney needs and preferences.
  • Develop systems that work with personal style of organization and attorney’s needs to streamline processes and encourage efficiency and workflow.
  • Serve as a direct resource for clients and communicate effectively and efficiently.
  • Effectively draft and format various legal documentation including but not limited to pleadings, discovery, subpoenas, and some motions.
  • Review incoming mail to determine urgency and work with attorneys accordingly.
  • Provide necessary telephone assistance including but not limited to, answering callers’ routine questions.
  • Manage attorney incoming mail, meeting requests, voicemail, calendar, and scheduled court appearances and deadlines.
  • Review calendar daily and proactively handle upcoming events and determine dates upon which various pleadings must be served and filed.
  • Input and maintain information into case management system and ensure data integrity.
  • Maintain, organize and index all case files for attorney including file correspondence, pleadings and other documentation in an accurate and timely manner.
  • Act as a liaison between client and attorney by furnishing and requesting information as needed and assist in completion of internal accounting and reports.

Position Requirements:

High School Diploma or GED required. A minimum of 2 years of prior experience as a legal secretary is preferred. Education and superior work ethic may be substituted for experience. Superior written and oral communication skills. Excellent interpersonal skills to communicate with court personnel, other attorneys, clients, and witnesses. Must be highly proficient in MS Word, MS Outlook, Adobe PDF suites, MS Excel, and PowerPoint. Proficiency working with Westlaw Next and ProLaw case management system is recommended. Possess an understanding of legal terminology, local court/jurisdiction rules, and adhere to law office procedures. Ability to identify urgency and prioritize tasks accordingly. Ability to manage time and multitask effectively and display problem-solving skills by developing methods or approaches to getting the work done. Maintain composure and professionalism under pressure as well as adapt to new situations and changing priorities. Ability to work independently as well as in a team environment. Strong organizational skills are essential.
