Western Carolina University is Hiring an Administrative Support Specialist Near Cullowhee, NC

The primary location of this position is the main Cullowhee, NC campus.
This position is the administrative support for the CEAP Associate Dean and the entire Suite 201 unit within the CEAP. This includes an array of offices, including teacher education advisors, field experience, licensure, recruitment, assessment, and technology. There are 14 staff supported by this position, including the Associate Dean for Academic Affairs of the college.
Generalized responsibilities include:
  • Lead coordination of processes and functions of the Professional Education Council and CEAP Curriculum Committee. Support teacher education initiatives focused on accreditation, recruitment, advising, and retention.
  • Administration, oversight, and analyses for budget preparation, integration and control for Suite 201. Responsible for creating spending plans based on input from Associate Dean and for management and fiscal reporting on the unit’s multiple funding types including operational state budgets (recurring and non- recurring), teacher recruitment funds, unit development and trust funds, and any additional funds that may be developed. Balances transactions and provides Associate Dean with timely budget information and analyses to facilitate budget oversight and decision processes; identifies and recommends funding sources for Suite 201 initiatives and staffing. Initiates and implements independent contracts, requisitions for purchase orders, and other kinds of payments.
  • Lead the School University Teacher Education Partnership (SUTEP) grant processes including communicating information (requests for proposals, meeting information, agendas, and minutes, award letters, event details, website updates), administering the budget and purchasing, and facilitating grant sharing events. Work with the Associate Dean who chairs the SUTEP grant committee. Manage additional internal and external grants as needed.
  • Provide administrative support to programs managed through the Suite, including STEP, TRUE, and Call Me MiSTER.
  • Facilitate processes related to travel for Suite 201 faculty and staff members and mileage reimbursements for the Office of Field Experiences.
  • Coordinate all processes and data for teacher education student action plans.
  • Hire, onboard, and manage the Suite’s student workers
  • Communicate with partner school districts regarding professional development for teachers.
  • Arrange, prepare for, and facilitate all logistics for professional development workshops for teachers throughout the year.

Minimum Qualifications

High school diploma or equivalency and one year of related office experience; or equivalent combination of training and experience.
