POSITION DESCRIPTION

Job title: Operations and Event Manager – Full Time

Location:

Reports to: Deputy Director

Overall Purpose

Work closely with the Deputy Director and the Executive Director to develop and implement a comprehensive fundraising strategy to expand donations and support for ARAHA. This includes managing all components of the fundraising plans including (but not limited to): individual donors, Grants from foundations, governments, and INGOs, In-kind donations, corporate giving, partnerships with NGOs/businesses, planned and annual giving, Seasonal and online campaigns.

Duties and Responsibilities

The duties and responsibilities listed below are representative, but not all-inclusive, of those the Development Director will be expected to undertake and carry out.

Office Management:

Manage general email and forward to appropriate persons

Oversee day-to-day operations of the office, ensuring efficient workflow and adherence to organizational policies and procedures.

Manage office inventory, including supplies, equipment, and furnishings, to support the needs of staff and volunteers.

Maintain a welcoming and professional office environment conducive to productivity and collaboration.

Cleaning Schedule Management

Manage appointment scheduling for the office, maintaining an organized calendar and ensuring timely communication with stakeholders.

Serve as the primary point of contact for incoming calls and inquiries, directing calls to appropriate staff members and providing assistance as needed.

Building and Tenant Management:

Serve as the primary liaison for tenants occupying office space, fostering positive relationships and addressing any concerns or inquiries.

Coordinate lease agreements, rental payments, and property maintenance to ensure a smooth tenancy experience.

Property maintenance and adherence

State Registrations and Other Renewals Management:

Manage all state registrations and licenses required for the organization's operations, ensuring compliance with legal and regulatory requirements.

Monitor renewal deadlines and facilitate the timely submission of necessary documentation to maintain legal standing.

Bazar/Events and Volunteer Coordination:

Under the supervision of Marketing director attend and prepare for conventions and assist in annual events for the organization.

Oversee the organization's volunteer programs and initiatives, including recruitment, training, and supervision of volunteer coordinators.

Coordinate volunteer schedules and assignments to support various organizational activities and events.

Manage staff and speakers' travels for fundraising purposes.

Perform all duties in a manner that maintains the positive image of ARAHA.

Other duties as assigned by the Deputy Director

Qualifications

Previous experience in office management, operations management, or nonprofit administration. Strong organizational, leadership, and problem-solving skills.

Excellent communication and interpersonal abilities, with a customer service-oriented approach.

Proficiency in Microsoft Office suite and other relevant software applications.

Knowledge of nonprofit regulations and best practices is desirable
