SEIU- ESF is Hiring a Program Administration Manager Near California, CA

LOCATION OF POSITION: Remote/work from home with occasional travel within California and nationally to ESF locations. Candidates must be authorized to work in the United States. We are unable to offer visa sponsorship.

SALARY: $70,000 - $75,000

ORGANIZATION OVERVIEW

An increasing number of Americans – most of whom are women and people of color – are employed in service sector jobs that are marked by low wages, no health care, job insecurity, and lack of training and career advancement opportunities. The SEIU Education & Support Fund tackles these issues by designing and facilitating worker-centered, relationship-based, and accessible education, training and workforce development programs. We serve as a strategic partner to the Service Employees International Union (SEIU), and collaborate with other unions, nonprofit organizations, government agencies, and employers to help workers access good jobs and spark positive social change. Throughout our work, we promote a culture of empowerment that honors experience, culture, diversity, and inclusion. 

POSITION SUMMARY

The Program Administration Manager plays a crucial role in supervising and coordinating organizational projects while providing vital administrative support for the CCPU Training Fund program. This position requires a unique combination of project management expertise, administrative proficiency, and meticulous attention to detail.

In the capacity of a program manager, this individual will take the lead in planning, executing, and overseeing projects from inception to successful completion. Responsibilities encompass the development of comprehensive project plans, team coordination, budget management, and ensuring project alignment with organizational objectives. Reporting directly to the Senior Director of Program Administration, the Program Administration Manager will also act as the primary liaison for project-related communication and will be accountable for keeping the program administration team apprised of project progress.

KEY ROLES AND RESPONSIBILITIES

Project Management:

  • Works with CA Program team to understand the programmatic needs, and creates a project management plan that aligns with the organization’s strategic objectives
  • Develop and manage project plans in coordination with the Program Administration team
  • Coordinates internal resources and third parties/vendors for the flawless execution of projects
  • Monitor project performance using appropriate systems, tools and techniques
  • Support the goals and priorities of the Program Administration team members
  • Assists in the creation of monthly/quarterly reports for funders and external stakeholders.
  • Assist with the development of strategic planning for programmatic operations 
  • Facilitate meetings effectively to ensure they meet objectives, drive
  • collaboration and result in action.

Administrative Support:

  • Provide administrative support to department or team members.
  • Manage calendars, schedule meetings, and coordinate travel arrangements.
  • Prepare and distribute correspondence, monthly/quarterly reports, and presentations.
  • Oversee the procurement of supplies and equipment.
  • Assist in budget tracking and expense reporting
  • Facilitate communication among project team members and stakeholders.

  • Relationship-Building. Ability to build trusting relationships with a wide variety of constituents utilizing excellent interpersonal skills and an asset-based approach. 
  • Project Management. Skill in complex project management utilizing excellent analytical, organizational and collaboration skills.
  • Adaptability. Ability to respond quickly and effectively when conditions change and exhibit flexibility when pivots are required.
  • Communication. Ability to effectively communicate with a wide variety of constituents and craft compelling narratives about the need and impact of our work.
  • Problem-Solving. Ability to strategically solve complex or unique problems through an equity and inclusion lens utilizing exceptional judgment.
  • Digitally fluent and comfortable using technology tools including Google Suite, Salesforce, SurveyMonkey, Campaign Monitor, Asana, and Slack in a professional environment. 
  • Ability to work independently and be a self starter as well as a collaborator in a dynamic team environment; can balance inclusive processes while driving toward deadlines.
  • Is able to flex hours to support staff across multiple time zones as needed (generally with notice).
  • Strong organizational and multitasking abilities.
  • Passion for fostering a culture of continuous learning and improvement.
  • Ability to travel occasionally to Rhode Island, Massachusetts, and California

EXPERIENCE/QUALIFICATIONS

  • 3-5 years of experience in project management preferably within a nonprofit or educational setting.
  • Bachelor's degree in business administration, project management, or a related field (Master's preferred).
  • Excellent communication and interpersonal skills
  • Proven experience in project management and administrative roles.
  • Experience working collaboratively with others across an organization;
  • Demonstrated capacity of translating ideas into action;
  • Strong project management experience and able to simultaneously facilitate the work of multiple teams or departments;
  • Excellent written and oral communication skills and ability to distill and explain complex concepts.

PREFERRED QUALIFICATIONS

  • Advanced education or experience in a relevant field such as project management
  • Experience working within workforce development, education, or related sectors
  • Deep understanding of unions

PAY AND BENEFITS

We offer competitive wages and top-notch benefits, including 100 percent employer paid medical, dental, and vision plans for the employee and eligible dependents; a defined benefit pension plan for retirement; paid holidays, sick leave, and personal days; and 4 weeks of vacation. We are a hybrid organization with co-located and remote staff. We provide a home office stipend for employees who telework, and cell phone stipend (or company sponsored cell phone) for all employees.
