We are seeking an Automotive Service Warranty Administrator with opportunity for growth, advancement and a long-term career. The Service Warranty Administrator is responsible for reviewing and completing warranty claims. This includes preparing, recording, reconciling warranty claims and submitting them to the appropriate party. Come join our team!

Duties & Responsibilities include but are not limited to:

· Prepare warranty ROs with accuracy, legibility and compliance to the manufacturer’s warranty policies and procedures as outlined in appropriate manufacturer’s warranty policy and procedure manuals.

· Correspond with Service Manager/Advisor(s) to return improperly completed ROs to the person originating the document for correction and/or completion as necessary.

· Determine and enter the applicable labor operation codes, failure codes, and/or other required administrative data on the ROs.

· Book the appropriate technicians for the hours earned on the operations performed. Up-flag and back-flag as appropriate, informing the technician and department management of adjustments as they occur.

· Check each RO against the vehicles’ service history to avoid processing duplicate claims or submitting claims for shop comebacks.

· Review and process all returned/rejected/adjusted warranty claims, track each claim until its final resolution.

· Process warranty claims on a timely basis for each franchise or distributor.

· Process all warranty paperwork to ensure proper documentation.

· Verify criteria required by factory or distributor.

· Reconcile all warranty receivables with payments through the appropriate accounting schedule and correspond with office to keep schedules clean and up to date.

· Resubmit all rejected claims promptly or receives authorization to write them off.

· Follow up on payment of outstanding claims.

· Keep informed of all factory recalls and bulletins.

· Assist with body shop warranty claims as needed.

· Assist with any clerical needs as directed by the fixed operations manager.

· Maintain a professional appearance and a neat work area.

· Proficient in Microsoft Excel/Google Sheets to record documentation of claims

· Good time management skills with the ability to work autonomously on assignments.

· Performs other duties as assigned.
