Summary: The Contract Administrator is a vital member of our team, ensuring the smooth execution of construction projects through precise contract management, administrative support, and close collaboration with accounting and project management. This role involves setting up projects, drafting and reviewing contracts, handling purchase orders, coordinating accounts payable, and generating accurate invoices.

Key Responsibilities:

Contract Management:

  • Draft and review construction contracts, subcontracts, and change orders to ensure they align with project requirements and company standards.
  • Ensure compliance of contract terms with clients, subcontractors, and vendors, collaborating with project managers.
  • Maintain an organized contract database, ensuring accessibility and compliance for all team members.

Project Setup and Administration:

  • Work with accounting to establish new projects in the company's accounting/project management software, ensuring accurate financial tracking.
  • Issue purchase orders (POs)/work orders WO’s) in line with project needs and budgets, obtain necessary approvals, and track timely delivery.
  • Receive and process vendor invoices, collaborating with accounting and project managers to ensure accuracy and timely payment.
  • Assist in creating and submitting client invoices, ensuring alignment with contracts and progress milestones.

Team Collaboration:

  • Communicate effectively with project managers to understand project timelines, budgets, and potential contractual issues.
  • Assist project managers in resolving disputes with clients or subcontractors.
  • Work within the accounting department to streamline processes and ensure accurate project financial reporting.

Qualifications:

  • Associate's degree in Business Administration, Construction Management, or a related field, or equivalent experience.
  • Minimum of 2-3 years of experience in contract administration or a similar role, preferably within the construction industry.
  • Strong understanding of construction contracts and terminology.
  • Excellent organizational and time-management skills.
  • Proficiency with Procore.
  • Ability to multitask and prioritize effectively.
  • Excellent verbal and written communication skills.

Desired Skills

  • Bachelor's Degree in Business Administration, Construction Management, or a related field.
  • Familiarity with construction law and industry regulations.
