Job Description (Please follow all instructions carefully)

Summary

This position located in White Sands National Park, in the Administration Division.

Open to the first 50 applicants or until 07 / 01 / 2024 whichever comes first. All applications submitted by 11 : 59 (EST) on the closing day will receive consideration.

This is Career Seasonal position. Individual will be will be placed in a non-pay status from approximately January 21st until February 3rd.

Duties

The Administrative Support Assistant will compile, analyze, and file personnel and financial information for the Administration Division and directly support the function of the Administrative Officer.

This support will include a wide range of duties such as : creating or populating spreadsheets, making charge card purchases, assisting with human resources processes, timekeeping, operating the ID Card Light Activation Station, fleet and energy reporting, developing and managing hardcopy and electronic files, providing records retention assistance to the Division, maintaining property inventory records, mail organization and distribution, preparing correspondence, data input into a variety of programs, preparing travel arrangements, and welcoming visitors to the park's headquarters.

The incumbent is expected to foster a team atmosphere and communicate using tact and professionalism.

Applicants must be skilled in word processing, email, spreadsheets, and automated / on-line software tools and systems used for onboarding and other human resources functions and financial information.

They must demonstrate clear communication skills and can maintain composure and work precisely under occasionally time-sensitive, stressful conditions.

In order to perform the duties of the position the incumbent must possess the skill to use office automation tools for functions including travel preparation and vouchering, financial data entry, and using spreadsheets and tables to track and explain data, drafting informal and official correspondence, communicating via email, and managing calendars and schedules.

Duties will be developmental in nature when filled below the full performance level.

  • Selectee will be required to participate in the Direct Deposit Electronics Funds Transfer Program.
  • You may be required to operate a government (or private) motor vehicle as part of your official duties. Prior to your first official motor vehicle operation, and again every year thereafter (or more frequently if management determines such need exists), you will be required to sign an affidavit certifying to your possession of a valid State issued driver's license that is current and has not been revoked, suspended, canceled, or otherwise disqualified in any way to prohibit your operation of a motor vehicle.

You will also submit a photocopy of your valid State issued driver's license prior to your first official motor vehicle operation, and again every year, or more frequently if management determines such need exists.

  • You may be required to work on-call, evenings, weekends, holidays, overtime and shift work.
  • You may be required to complete a one-year probationary period.
  • You may be required to travel overnight away from home. You must obtain a government charge card for travel purposes.
  • You may be required to complete training and obtain / maintain a government charge card with travel and / or purchase authority.
  • Applicants must be at least (1)18 years old or (2) at least 16 years old and : (a) Have graduated from high school or been awarded a certificate equivalent to graduating from high school;
  • or (b) Have completed a formal vocational training program; or (c) Have received a statement from school authorities agreeing with their preference for employment rather than continuing their education;

or (d) Be currently enrolled in a secondary school and either work only during school vacation periods or work part-time during the school year under a formal student employment program.

Qualifications

All qualifications must be met by the closing date of this announcement-07 / 01 / 2024-unless otherwise stated in this vacancy announcement.

Credit will be given for all appropriate qualifying experience. To receive credit for experience, your resume MUST clearly indicate the nature of the duties and responsibilities for each position, starting and ending dates of employment (month / year), and the resume must reflect full and / or part-time or total number of hours worked (i.

e., work 40 hours a week, rather than indicating full-time). If part-time, the hours must be annotated to be able to pro-rate the amount of qualified specialized experience.

SELECTIVE FACTOR : This position requires the skill of a qualified typist with the ability to type at least 40 words per minute.

Candidates who do not meet this requirement by close of this announcement will receive no further consideration for this position.

AND -

To qualify for this position at the GS-06 grade level, you must possess at least one or all of the following minimum qualifications by close of the announcement :

EXPERIENCE : At least one full year of specialized experience comparable in scope and responsibility to the GS-05 grade level in the Federal service (obtained in either the public or private sectors).

  • This experience includes activities such as : Operation of computerized information systems; drafting reports and correspondence for management from data sources and related files;
  • inputting and processing data related to budget and finance; preparing purchase requests / documents; inputting time and attendance data into a timekeeping system;

purchasing and completing required documentation; budget tracking; preparing and entering personnel actions; and coordinating travel arrangements.

You must include hours per week worked.

EDUCATION : Successful completion of at least four years of education above high school (120 semester hour or 180 quarter hours).

This education must have been obtained in an accredited business, secretarial or technical school, junior college, college or university.

One year of full-time academic study is defined as 30 semester hours, 45 quarter hours, or the equivalent in a college or university, or at least 20 hours of classroom instruction per week for approximately 36 weeks in a business, secretarial, or technical school.

You must include transcripts.

Successful completion of a combination of education and experience as described above. To combine education and experience, first take two full academic years of study, or 60 semester hours, beyond the second year is equivalent to 1 year of specialized experience.

For example, six months of the specialized experience described above (50% of the experience requirement), and three years of college study from an accredited institution (50% of the qualifying education) which included at least 12 semester hours of related coursework as specified above (50% of the related coursework required).

Then take the number of months of full time experience and divide by 12 months. Add the percentages together. The total must equal at least 100 percent to qualify.

You must include transcripts. NOTE : Only education in excess of the first 60 semester hours of a course of study leading to a bachelor's degree is creditable toward meeting the specialized experience requirements.

Volunteer Experience : Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.

g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community, student, social).

Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment.

You will receive credit for all qualifying experience, including volunteer experience.

Education

To qualify based on education, you must submit a legible copy of transcripts from an with your name, school name, credit hours, course level, major(s), and grade-point average or class ranking.

Transcripts do not need to be official, but if you are selected for this position and you used your education to qualify, you must provide official transcripts before you begin work.

If you are using to meet qualification requirements, you must show that your education credentials have been evaluated by a private organization that specializes in interpretation of foreign education programs and such education has been deemed equivalent to that gained in an accredited U.

S. education program; or full credit has been given for the courses at a U.S. accredited college or university.

There is no substitution of education for experience at the grade level(s) of this announcement.
