Job Summary:
The Arizona Attorney General's Office ("AGO") is seeking Legal Secretary II to provide legal secretarial support to the Assistant Attorney Generals. The position will prepare a variety of correspondence, pleadings, motions, legal forms and independently prepares correspondence.
Legal secretaries support the following legal divisions:
•Criminal Division- Current # of openings: 1 - Phoenix
•State Government Division- Current # of openings: 8
•Child and Family Protection Division- Openings available statewide
•Civil Litigation Division- Current # of openings: 1
•Solicitor General's Office- Current # of openings: 2

Job Duties:
•Duties include, but may not be limited to, preparation of legal pleadings and documents necessary to process cases on behalf of the client; drafting and typing correspondence; answering inquiries from the client, court personnel, and others regarding case activity and status; coordinating and following up on service of process including communicating with the process servers and locate unit; entering all calendar events, deadlines, and case activities in case management database (ATLAS) to track progression of activities, reflect case status and generate follow through action; independently generating legal forms needed in all types of actions and other projects as assigned.
•Calendar court appearances, hearings, depositions, meetings and other functions; docket all case pleadings, correspondence, and suspense deadlines in legal files (case management system). Open, maintain and close files in accordance with office standards. Make travel arrangements and complete necessary documentation for in-state and out-of-state travel.
•Review incoming correspondence and pleadings and refer to appropriate attorney. Review outgoing material for consistency with office policy, grammatical construction, clerical error; ensure that legal documents and enclosures are complete and in order.
Knowledge, Skills & Abilities (KSAs):
•Knowledge of word processing programs, legal terminology and legal forms.
•Knowledge of service of process procedures.
•Understanding of the attorney/client relationship including the need for confidentiality and discretion.
•Knowledge of rules and procedures of all Arizona State courts and a variety of federal courts.
•Extensive knowledge court procedures and applicable time-frames.
•The principles, concepts, practices, methods and techniques common to a modern law office.
•Oral and written communication.
•Interpersonal relationships.
•Skill in composing various complex legal correspondence and pleadings.
•Grammar, punctuation, spelling, basic editing, and formatting of a wide variety of legal documents.
•Word processing and transcribing skills.
•Ability to work with interruptions and adapt to changing priorities.
•Ability to work as part of a team.
•Ability to perform detailed work with a high degree of accuracy and exercise good judgment in safeguarding sensitive and confidential information
•Ability to work independently.
•Ability to track and follow through on voluminous court actions in various states.
•Ability to utilize automated case management systems and follow office procedures for maintaining and tracking records.
•Ability to organize, prioritize and perform varied tasks and track multiple deadlines simultaneously.
Selective Preference(s):
Ideal Candidates will have extensive experience as a legal secretary or completion of a legal secretary/paralegal training program.
