Job Description

SUMMARY

This position is responsible for all aspects of office support including answering phones, handling mail, filing, maintaining equipment, ordering supplies, greeting, and assisting visitors and other office duties as assigned.

ESSENTIAL DUTIES & RESPONSIBILITIES

  • Assist with credit card reconciliation for Orlando office.
  • Assist with mail/FedEx preparation.
  • Assist the Payroll department each Wednesday with various tasks.
  • Assist with inventory and stocking supplies.
  • Stock kitchen/vending machine.
  • Support HR with a PDF project which will require PII & HIPA certification.
  • Assist with the PTO office calendar.
  • Escort building property manager during weekly visits.
  • Assist the Projects team with various tasks.
  • Maintain regular and punctual attendance.
  • Perform other duties/special projects as assigned.

SUPERVISORY RESPONSIBILITIES

None.

MINIMUM QUALIFICATIONS

  • High School or GED required, some college preferred in Business Administration or similar.
  • Experience in working with personal computers and Microsoft Office software (Word, Excel, Access and PowerPoint).
  • Must obtain and maintain any necessary background checks.

DESIRED QUALIFICATIONS & SKILLS

  • Minimum of one (1) year receptionist/administrative experience is preferred.
  • Experience answering multi-line phone system is preferred.
  • Excellent communication and interpersonal skills.
  • Strong organizational skills and detail oriented.
  • Ability to prioritize multi-tasks.
  • Demonstrated ability to perform diverse duties under operating and deadline constraints.
  • Demonstrates accuracy and thoroughness; monitors own work to ensure quality.
  • Proven ability to exercise mature judgment – specifically in recognizing and respecting the confidential nature of corporate and personnel matters. 
Job Requirements

WORK SCHEDULE

Part-time, 25-30 hours per week. May be required to work additional hours as needed to complete assignment or project.

TRAVEL

The expected travel time is less than 10%.

DRIVING REQUIREMENTS

Must have or be able to attain a valid state driver’s license and be insurable on the company’s automobile insurance policy.

Driving, with or without accommodation, may be required when traveling for training and/or short occasional amounts of local driving. The expected driving time is less than 10%. 

WORK ENVIRONMENT

The majority of work is performed in a professional office setting and in some off-site locations during project transitioning with a wide variety of people in different functions, personalities, and abilities.

PHYSICAL DEMANDS

Frequent sitting, using hands/fingers, handling, reaching with hands and arms, talking, hearing, and seeing up close, at a distance, along the periphery, with depth perception and the ability to adjust focus; occasional walking or standing, occasional lifting of up to 30 lbs.
