Job description

We are a fast-paced practice that specializes in hearing healthcare in the Savannah area. Do you like helping patients with their health and overall wellness? This would be a perfect role for you. We currently have roles open for receptionists to manage our front desk on a daily basis and to perform a variety of administrative and clerical tasks. As a receptionist, you will be the first point of contact for our patients. Customer service is extremely important to us and we treat our patients like family. A smiling face and welcoming demeanor are key, as well as multitasking skills and excellent people skills.

The role will occasionally encounter emergencies that must be dealt with in a timely and effective manner. Multitasking and stress management skills are essential for this position. There are times that this position can be demanding because our locations can be very busy at times.

We have three locations in the area, Savannah, Pooler and Skidaway Island and travel from location to location may be needed. Ultimately, the role’s duties and responsibilities are to ensure the front desk welcomes guests positively, and executes all administrative tasks to the highest quality standards.

Hearing Aid technician: Our receptionist roles have the possibility to advance into the hearing aid technician role. Our hearing aid technicians are patient facing and provide detailed care and service. In this role, you would clean and check hearing aids, troubleshoot devices, send in aids in need of repair, counsel patients of how to use the devices and practice with them as well as follow up calls and support of the audiologists.

Responsibilities of receptionist

  • Greet and welcome patients as soon as they arrive at the office
  • Offer coffee or water and what they need to feel comfortable
  • Check patients into our software system
  • Direct patients to the appropriate person and office
  • Update demographic information
  • Coordinate all front-desk activities, including distributing correspondence and routing phone calls
  • Answer, screen and forward incoming phone calls/messages
  • Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)
  • Provide basic and accurate information in-person and via phone/email
  • Receive, sort and distribute daily mail/deliveries
  • Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
  • Order front office supplies and keep inventory of stock
  • Update calendars and schedule meetings
  • Keep updated records of office expenses and costs
  • Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing

Skills

  • Proven work experience as a Receptionist, Front Office Representative or similar customer service role
  • Proficiency in Microsoft Office Suite- Word, Excel, Outlook, etc.
  • Hands-on experience with office equipment (e.g. fax machines and printers)
  • Professional attitude and appearance
  • Solid written and verbal communication skills
  • Ability to be resourceful and proactive when issues arise
  • Excellent organizational skills
  • Multitasking and time-management skills, with the ability to prioritize tasks
  • Customer service approach
  • Patient centered care approach
  • High school degree; additional certification in Office Management is a plus
