HR Receptionist

Position Summary

The primary responsibility of the Human Resources Receptionist position is to greet and warmly welcome and assist all guests, team members, and vendors. Additionally, performs a variety of administrative support duties to the Human Resources team as directed. 

Core Responsibilities

Responsibilities described in this section are fundamental to success in this position.

  • Answers phone calls with professional enthusiasm focusing on the caller and ensuring the calls are transferred efficiently and timely to the appropriate person.
  • Greet visitors and interact professionally with a varied group of individuals, including company employees, customers, attorneys, outside vendors, and family members.
  • Manages the public calendars for meetings, conference calls, and assists in preparation and follow up of meetings; including the reservation and set up of conference rooms. Additionally, will check daily for any schedule conflicts and take appropriate action to resolve them in a timely manner.
  • Responsible for preparing routine correspondence including emails, letters, and memos.
  • Handles inbound and outbound packages and deliveries to the office and redirects them to the appropriate person in a timely manner.
  • Assists corporate staff with special projects, including meeting preparation, and arranging packets and reports for various departments.
  • Maintain security and telecommunication systems.
  • Order supplies for dealerships (inventory and non-inventory) and corporate office supplies, including business cards.
  • Assists with the Office Depot account; set up accounts for the dealerships.
  • General light housekeeping of the 1st Floor breakroom and 2nd Floor open and close duties.
  • Regularly clean the breakroom area, including countertops, tables, and appliances.
  • Monitor and restock supplies such as paper towels, napkins, utensils, etc.
  • Prepare and maintain coffee for team members throughout the morning.
  • Promptly address any spills, messes, or maintenance issues in the breakroom area.
  • Assists with planning and coordinating company events.
  • Performs a variety of administrative duties and provides administrative support to the Human Resources team as directed.
  • Additional duties as assigned.

Minimum Qualifications

The requirements listed below are the minimum degrees, certifications, knowledge, skills, and/or abilities required for this position.

  • High School Diploma or GED equivalent.
  • 2 years of college or equivalent combination of education and experience.
  • Valid driver’s license without restrictions that affects your ability to operate company owned vehicle(s) and ability to maintain a clean driving record.

  • Specific vision abilities required by this job include close vision and distance vision.
  • Must be able to pass a drug/alcohol urinalysis and be able to drive a vehicle.
