Overview:

We are seeking a proactive and organized HVAC Dispatcher to join our team. The ideal candidate will be responsible for coordinating the scheduling and dispatching of HVAC technicians to service calls, ensuring efficient utilization of resources and timely response to customer inquiries and service requests.

Responsibilities:

1. Dispatching: Assigning HVAC technicians to service calls based on location, expertise, and availability.

2. Scheduling: Coordinating daily and weekly schedules for HVAC technicians, ensuring optimal utilization of resources and timely completion of service calls.

3. Customer Communication: Interfacing with customers to schedule appointments, provide updates on technician arrival times, and address any inquiries or concerns.

4. Prioritization: Assessing the urgency of service requests and dispatching technicians accordingly, while maintaining a balance between emergency and routine calls.

5. Routing: Planning efficient routes for technicians to minimize travel time and maximize productivity.

6. Documentation: Maintaining accurate records of service calls, technician schedules, and customer interactions using our dispatch software.

7. Team Coordination: Collaborating with HVAC technicians, supervisors, and other dispatchers to ensure smooth operations and effective communication.

8. Problem Solving: Addressing scheduling conflicts, technician availability issues, and other challenges to ensure timely resolution and customer satisfaction.

Requirements:

1. Experience: Previous experience in dispatching, scheduling, or customer service, preferably in the HVAC industry.

2. Organizational Skills: Ability to multitask, prioritize, and manage time effectively in a fast-paced environment.

3. Communication: Excellent verbal and written communication skills, with a customer-focused approach and the ability to remain calm and professional under pressure.

4. Technical Aptitude: Familiarity with HVAC systems and terminology is a plus, but not required.

5. Computer Proficiency: Comfortable using dispatch software, email, and other computer applications for scheduling, communication, and record-keeping.

6. Team Player: Willingness to collaborate with colleagues and adapt to changing priorities to support the overall success of the team.

7. Problem-Solving Skills: Ability to quickly assess situations, identify solutions, and make decisions to resolve issues as they arise.
