The Business Manager (BM) is an experienced accounting professional who is responsible for the daily posting of accounting transactions and reporting on the St. Michael-St. Clement and St. Francis of Assisi Catholic Schools’ financial results. This position assists the Principals with the stewardship of the finances of the schools, in accordance with Archdiocesan policies and guidelines. The individual employed values the organization and responsible management of resources, as well as helps the Schools fulfill their mission and purpose.

Essential Functions:

The BM serves in a key financial support capacity to the Principals, School Boards and other finance related positions and committees. The position ensures that the accounting transactions of the schools are recorded correctly and that the financial reports provide accurate and timely information.

Financial Responsibilities

  • Responsible for complying with and when necessary, enhancing the schools’ financial and accounting system controls and policies.
  • Maintains the internal control structure and ensures controls are functioning appropriately.
  • Maintains an accurate & complete filing, record keeping, & general ledger system.
  • Records all month-end and year-end journal entries to comply with GAAP.
  • Processes payroll through the UKG System. Ensures adequate payroll files, including all applicable support for payroll transactions.
  • Oversees FACTS Tuition Management and the schools’ Grant and Aid system. Generates timely and accurate reports from FACTS to enable posting of revenue transactions to the accounting system.
  • Prepares monthly reports on delinquent tuition and assists in contact with delinquent families.
  • Posts all deposits, other than FACTS deposits, from a deposit log or electronic statement. Reconciles deposit slip for “other revenue” with the deposit log.
  • Ensures adequate support for all school obligations, and accurate posting of all invoices/reimbursement requests through the Bills feature in QuickBooks Online and prints checks for approval and signature. Maintains a complete vendor filing system by year in alphabetical order by vendor.
  • Completes a timely month-end close and reconciliation of accounts and systems.
  • Creates timely and accurate monthly financial, budget, and statistical reports to school leadership and the AOB Schools Regional Controller.
  • Manages the preparation, presentation, approval, and ongoing monitoring of the operating and capital budgets in collaboration with the Principals and the AOB Schools Regional Controller. Participates in long-term strategic planning.
  • Manages grant recording and reporting process.
  • Reconciles accounting system to donor database for advancement related revenue.
  • Prepares reports and assists in the interpretation of financial trends.
  • Prepares and participates in the rotating Archdiocesan internal audit.

Administrative Responsibilities

  • Ensures school salaries and benefits are implemented in accordance with applicable law and Archdiocesan policy.
  • Provides support at staff meetings, School Board meetings, Finance Committee meetings, and other committee meetings appropriate to the position.
  • Serves as a resource to school organizations in all financial matters.
  • Serves as a school contact with financial institutions and standard AOB administrative system providers.
  • Serves as liaison between the schools and Archdiocese of Baltimore. Works directly with AOB – SRC on operational and financial related matters.
  • Attends Archdiocesan training, update, and development meetings.
  • As appropriate, coordinates and prepares school response to liability, insurance, and legal concerns, in cooperation with Archdiocesan offices.
  • Ensures compliance with Diocesan policies and applicable federal and state laws and regulations, with the assistance of Diocesan staff.

Position Qualifications:

  • Required Education & Experience
  • BS/BA, CPA and/or MBA a plus.
  • Five or more years work experience in finance or accounting.

Required Knowledge, Abilities & Skills

  • Strong written and oral skills.
  • Proficiency in Microsoft Excel, as well as other Microsoft Office Products.
  • Working knowledge of QuickBooks, QuickBooks Online a plus.
  • Ability to interact effectively as a team member and to supervise others.
  • Understand and support the operation and mission of the Catholic Church.
