Job Title: Property Manager

This job description is intended to describe the general nature and responsibilities of the Property Manager position. This job description and the duties of this position are subject to change, modification, and addition as necessary by the company. Employees are required to comply with supervisory instructions and perform other job duties, responsibilities and assignments required by company directors. This job description does not constitute an employment contract between the company and any employee. The job responsibilities of this position may include cross-training in other functions of the organization to ensure satisfactory operation.

This is a full time direct hire position for a property located in Portland Oregon, the property has up to 100 units.

ESSENTIAL DUTIES AND RESPONSIBILITIES

The following is a list of general responsibilities. This list is not all-inclusive and may be amended to meet changing business needs. Other duties may be assigned.

· Responsible for maintaining high occupancy of the properties.

· Oversee the Leasing Team, to include providing coverage for the team when necessary.

· Ensure that properties continue to maintain their property value for the Owner and to maintain the property at a move-in ready level.

· Oversee any issues with pending applications.

· Review all move-in paperwork, renewals, notices, notices to vacate and all other management related documents to ensure all documents are processed according to company protocol.

· Follow all Fair Housing regulations.

· Oversee the Accounting Department.

· Process and code all incoming invoices and forward them to the Accounting Department for processing.

· Enforce all rental contracts, leasing agreements, and management agreements.

· Oversee marketing ads and ensure all appropriate vendors are sent to the property for signage, photos, etc. Ensure all ads are in accordance with company protocol.

· Maintain timely communication with vendors, Owners and the team.

· Ensure all emails, phone calls and other forms of communication are responded to within 48 hours of receipt.

· Review existing work orders for the company portfolio and update Owners accordingly on a weekly basis.

· Complete a thorough walk-through of all new properties at new owner intake to include the completion of a property inventory; ensure all turnover is completed in the new property prior to marketing.

· Review the turnover report and communicate with Owner as needed and obtain their approval.

· Review all final security deposit dispositions to outgoing residents.

· Create and implement marketing plans; report Owner updates weekly

· Connect with a minimum of five Intentional Interactions with Owners and prepare weekly reports on the interactions to the Owner of the Property Management.

· Walk property quarterly.

· Coordinate between Residents, maintenance, or realtors for entry into homes.

· Email Owners weekly leasing updates of vacancies.

· Email Owners with tenant violations.

· Prepare and review monthly financial statements and supporting schedules.

· Review and analyze the general ledger and ensure records are maintained in compliance with OREA or other basis of accounting.

· Conduct monthly reviews of and understand the financial reports to ensure staying within expectations and budgeted amounts.

· Send copies of lease agreements/paperwork to Owners when requested.

· Send notice to vacate to Owner, along with calculating appropriate rental rents and next steps.

· Ensure all violation notices, HOA notifications and new Owner intake flow are processed according to company protocol.

· Communicates and assesses fine violations to Owners.

· Stay current with all Owner information including current and new Owners.

· Creating and approving annual budgets.

· Providing weekly reports to Executive Branch.

· Overseeing weekly team meeting.

· Approving time off for team and ensuring appropriate coverage for portfolio.

· Reviewing and addressing any human resource concerns.

· Overseeing and getting approval for any pending maintenance items/estimates over the limit amount per property.

· Ensuring all emergency items are communicated exponentially to Owners, vendors, and executive branch.

QUALIFICATIONS

EDUCATION and/or EXPERIENCE

· Education: Bachelor’s degree or university program certificate.

· Years of Related Experience: 1-4 years related experience and/or training; or equivalent combination of education and related experience.

· Certifications and licenses: No certifications needed.

REQUIRED SKILLS AND ABILITIES:

Reasoning Ability:

Ability to solve practical problems and deal with various concrete variables in situations with limited standardization. Ability to interpret multiple instructions furnished in written, oral, diagram, or schedule form.

Computer Skills:

Must have knowledge and skills in Microsoft Office software, including Word, Excel, Access, and Outlook.

Language Skills:

Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Strong skills in writing reports, business correspondence, and procedure manuals. Proven ability to effectively present information and respond to questions from managers, clients, customers, and the general public.

Mathematical Skills:

Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.

SUPERVISORY RESPONSIBILITIES

This position requires supervisory responsibilities.

· Occasionally required to reach, climb, squat, bend, balance, kneel, crouch, or crawl.

· Regularly lift or carry 15 pounds to perform various office duties as assigned; frequently lift or carry 25 pounds as needed; and occasionally lift or carry 50 pounds.

· Vision standards required include close vision, distance vision, peripheral vision, depth perception, and ability to adjust focus.

· Meet hearing acuity standards.
