HOURS: Full-time (7am - 3pm) - Full Year (includes summer months)


ESSENTIAL FUNCTIONS

  • Serve as a face for the main office at Mt. Ararat High School, greeting guests and responding to the needs of school staff, students, and visitors.
  • Provide overall administrative support to the principal, including supporting the scheduling of appointments with the school principal and administrative staff.
  • Oversee employee time and attendance reporting, absences and substitute placement via AESOP; coordinate daily substitute teaching placements.
  • Collaborate with other administrative support personnel to ensure efficient operations of all services; coordinate, organize, and facilitate meetings with other administrative support staff.
  • Manage the financial operations associated with District and internal accounts in compliance with district policies and procedures using online accounting systems. Maintain files to serve as a backup system as needed.
  • Organize the graduation proceedings in collaboration with the Principal, graduation director, class advisor, Facilities Staff and others. Assume responsibility for gathering and compiling legal names for diplomas, ordering and checking diplomas for graduation, compiling graduation programs, communication with press and other duties specifically associated with the graduation ceremony.
  • Oversee projects and planning of additional events; including, but not limited to awards/recognition programs, professional development events, annual budget process, fundraising and the annual opening/closing of school.
  • Complete periodic reports for attendance, enrollment, year-end statistics, etc.
  • Prepare documents and submit ePARS as needed pertaining to hiring and/or personnel changes (status change, requisitions, request for leave, etc.) using the District’s online system.
  • Other duties as assigned.


REQUIREMENTS

  • High School diploma or GED. Associate’s Degree and/or on-going professional experience preferred.
  • Must hold a Criminal History Records Check (CHRC) as issued by the Maine Department of Education.
  • Three to five years of related experience; to include supervisory experience.
  • Advanced technology skills with knowledge of Microsoft Office, financial software, personnel management software and student information systems.
  • Strong oral/written communication and interpersonal skills.
  • Proven organization and leadership skills.
