Prestige Planning LLC is Hiring an Executive Coordinator Near Bradenton, FL

This is an opportunity to join a growing, locally owned risk management and financial planning firm.

The culture is supported by each team member's commitment to forward-thinking, collaboration, and consistency. We are seeking a Receptionist for our office located in Lakewood Ranch, Florida.

Expectations - This position can be full or part time in the office; office hours are M-F, 9:00 AM to 5:00 PM but based on the candidate we will discuss the working schedule. Candidates must have a commensurate level of experience with:

  • Working in a professional services environment.
  • Maintaining and coordinating across multiple calendars for personal, professional, and leisure activities.
  • Task management.
  • Organizing information in internal and external filing systems such as Dropbox, SharePoint, and OneNote.
  • Strong computer/tech skills and high proficiency in Microsoft 365 Products, G-Suite Products, WealthBox or similar CRM software (preferred).

You will be responsible for scheduling and appointment coordination as follows:

  • Scheduling/Coordinating conferences and events for Mark and Jeremy.
  • Coordinate recurring appointments with collaborative partners (ie. CPAs, attorneys, Payroll providers, etc.)
  • Assist with pre-appointment prep and post-appointment follow-up upon request.
  • Pre-appointment prep: maintaining quality first impressions by stocking supplies in the conference room, greeting clients at door, and ensuring all required materials are printed and prepared.
  • Support Advisors and CRM by assembling client presentation materials for appointments.

You will be accountable for in-office assistance such as:

  • Answering phones in a professional manner, screening calls and taking messages as needed.
  • Organize inbound mail and scan any agency billed checks for deposit.
  • Initiate mid-week check-ins on open tasks to facilitate team execution.
  • Maintain an inventory list of office supplies and order / restock as needed.
  • Collaborate with team members to document processes and procedures, and organize the documented material in Sharepoint
  • Receive physical copies of client documents, scan and organize into the appropriate Sharepoint folder.
  • Maintain organization of files in Sharepoint in accordance with Prestige’s standard file naming convention.
  • Maintain commission reports from carriers.
  • Weekly review of open opportunities in EZLynx with Insurance Advisors and Account managers.
  • Support social media marketing efforts with weekly posts to Linkedin and Facebook.
  • Receive and pay all vendor invoices timely. Monitor for irregularities and spending in accordance with budgeted
  • Work with our CPA as an accounting liaison to maintain accuracy in our accounting system.
  • Assists in the creation of standard operating procedures and workflows.

You will be accountable for certification renewals which includes:

  • Maintain a list of active certifications for advisors with renewal dates.
  • Monthly review of advisor certifications and notify advisors of needed renewals.

You will be accountable for data entry tasks such as:

  • Entering new leads and contact information into WealthBox.
  • Confirm policy information from Carrier websites and keep up-to-date policy and account information for all contacts (leads, new and existing clients) in Wealthbox.
  • Collaborate with Kelly to enter maintain current coverage information in Wealthbox or EZLynx for all clients.
  • Review Master Client List monthly for Life Insurance renewals reports. Assign tasks based on upcoming service needs to servicing producers and CRM.
  • Weekly entry and reconciliation of commission statements into EZLynx.
  • Complete agency billed premium payments as needed in accordance with Prestige Agency Billing Procedures.
  • Pull reports from EZLynx and Wealthbox to update the Prestige scorecard weekly.
