Klamath Family Head Start is Hiring an IT Assistant/ Help Desk Near Klamath Falls, OR

Hours: 20 hours per week, 36 paid weeks per year

SUMMARY OF POSITION: This position is responsible for providing hardware and software support for KFHS network users, as well as other support services to internal and/or external users of the organization’s computer systems and network. “First Responder” to Helpdesk/Support requests. Sets up new computers and/or relocates computers and installs and maintains software, connects and configures printers and other hardware, and troubleshoots hardware problems. Coordinates user problems resolution with Supervisor. Provides introductory level training to staff as appropriate.

MINIMUM EDUCATION AND EXPERIENCE: High School Diploma or GED equivalent required. Minimum 2 years’ experience in Computer Technology. An equivalent combination of education and experience may be considered. Bilingual in Spanish-English preferred, verbal and written. Knowledge of Active Directory, Office 365 administration, and Windows 10 operating systems. Experience with and/or knowledge of social service systems and non-profit organizations preferred.

GENERAL REQUIREMENTS:

  • Support the vision, mission, and values of the agency in the implementation of the Head Start Performance Standards and Rules for Child Care Centers.
  • Promote positive public relations and act as an advocate for Head Start.
  • Model behaviors that demonstrate an understanding, acceptance and welcoming of diversity.
  • Be responsible to encourage in-kind donations from families and community members.
  • Assist in planning, development, and implementation of operational procedures.
  • Analysis of trends in the field, as well as data on children and families in the program.
  • Actively pursue community partners, to locate and access resources for families.
  • Support staff and parent communication.
  • Maintain requirements as reflected in the Performance Standards, Head Start Act, and Rules for Child Care Centers.
  • Assist in the preparation of grant applications, as requested.
  • Submit data monthly for appropriate reports.
  • Follow financial policies / procedures as set by grant contracts.
  • Monitor plans for improvement based on the annual self-assessment.
  • Support and implement Conscious Discipline philosophy throughout the program.
  • Abide by the Standards of Conduct/Code of Ethics and Statement of Confidentiality (see Policies 133.A and 133-1.A respectively) agreed to and signed annually.
  • Attend program operation meetings.
  • Participate in and/or conduct agency meetings and trainings.
  • Develop and ensure implementation of a training plan in conjunction with Leadership team.
  • Travel may be required to attend appropriate trainings. Travel may include overnights.
  • Work at other sites as needed.
  • Perform other duties as assigned.

IT ASSISTANT/ HELP DESK RESPONSIBILITIES:

  • Initial Helpdesk contact for support services to internal and/or external users of the organization’s information systems and network.
  • Installs, maintains, and troubleshoots operational issues related to computers, printers, IP phones, mobile devices, and other devices throughout the KFHS locations.
  • Adheres to standards for configuration and resource management consistent with defined best practices and mandates related to security and compliance.
  • Troubleshoots operating systems, drivers, and applications on agency computers.
  • Upgrades and tests new components and peripherals and customizes settings to ensure operational compatibility with network resources.
  • Confers with users and programs to ensure data technology and systems needs are operating efficiently.
  • Creation, deletion, and management of Active Directory user and computer objects.
  • Ensures supervisor and other parties involved are apprised of work progress including present and potential work problems and makes suggestions for new or more effective ways to address customer service issues.
  • Attends meetings, conferences, training workshops, and reviews publications and industry documentation to become and remain current on principles, practices, and new developments in assigned work areas.
  • Assists in training and advising users on effective operating procedures.
  • Assists in maintenance of data integrity with backup, archive, and recovery processes and assists with implementing and maintaining procedures for disaster recovery.
  • Participates in strategic process planning, readiness and response.
  • Strictly adheres to all safety policies and procedures at all times and responds/corrects any at-risk safety issues immediately. Ensure work complies with agency standards.
  • Strictly adheres to agency code of ethics and standards of workplace behavior.
  • Performs other duties as assigned to meet business needs including regular and reliable attendance and adherence to all company workplace behavior standards.
  • Other marginal functions and responsibilities as assigned.
  • Work schedule may require flexibility to trouble shoot and problem solve on weekends and evenings.
  • Participates in program planning for procedure and policy changes, budget strategy and equipment/facility needs.
  • Assists in reviewing, analyzing, developing, installing, configuring and maintaining agency’s operating systems.
  • Assists in analyzing, detecting, diagnosing, reporting and resolving information technology related problems.
  • Assists in developing and providing training and support to end users.
  • Identify, research and resolve technical problems. Track and monitor issues to ensure timely resolution.
  • Assist in maintaining and upgrading communication systems. Program new installations and changes to phones. Analyze, diagnose and resolve problems or respond to questions from users regarding phone, cell phone. Program voicemail.
  • Install, configure, test, develop and maintain endpoints and software; maintain and modify operating systems; integrate vendor-supplied software into existing systems.
  • Assist with the interfacing of computer and communications equipment.
  • Assist in developing and monitoring program policies regarding access to computer systems, files, etc.
  • Establish and maintain reports and reporting procedures and prepare/update documentation as required.
  • Utilize available program and community resources to best meet the needs of the program.
  • Help maintain inventory of all computer back-ups, software and hardware components.
  • Communicate with the Leadership Team to gather information on computer training needs of staff.
  • Provide training to parents and staff as directed.
  • Attend and participate in staff meetings as scheduled.
  • Attend and participate in agency trainings and in-services.
  • Test and refine system applications to correct errors and ensure intended goals are achieved. Design and support cloud server systems and supporting software.
  • Maintain system confidentiality for program information.
  • Coordinate with the managers for daily duty assignments.
  • Serve as a Child Plus software administrator and assist in user technical support.
  • Coordinate with staff to gather and analyze data and provide reports as requested.

QUALIFICATIONS:

  • Minimum 2 years’ experience in Computer Technology. An equivalent combination of education and experience may be considered.
  • Sufficient knowledge of PC software and hardware to do basic to semi-complex system wide problem solving and troubleshooting, including Windows applications.
  • Bi-lingual in Spanish-English preferred, verbal and written.
  • Knowledge of Active Directory, Office 365 administration, and Windows 10 operating systems.
  • Experience with and/or knowledge of social service systems and non-profit organizations preferred.
  • Demonstrated ability to provide introductory level training and technical assistance to adults, individually and in groups.
  • Demonstrated ability to effectively work independently and to collaborate with groups.

EMPLOYMENT-RELATED REQUIREMENTS:

  • Employment is contingent upon evidence of registry with the Oregon Office of Child Care, Early Learning Division- Central Background Registry.
  • Must have a negative pre-employment substance abuse screening and TB Clearance.
  • Possess a valid driver's license and a clean driving record or have reliable transportation.

After employment must obtain:

  • Physical Examination - See policy Pers-07-716.
  • Provide evidence of auto insurance; to be eligible for mileage reimbursement or to drive a Head Start vehicle.
  • Obtain DMV driving record document each year if driving Head Start vehicle or requesting mileage reimbursement.
