Job Title: Human Resources Administrative Specialist 

Division/Department: Human Resources

Reports To: Human Resources Manager

Type of position: Non-Exempt/Hourly

Employee Classification: Regular

Compensation: $18.00-$23.00 per hour

Location: Tucson, AZ

Regular classified employees are eligible for company sponsored benefits and retirement account options.

Job Summary:

The HR Administrative Specialist will be expected to assist with basic Human Resources needs such as maintaining employee records via the company HRIS, payroll preparation when needed, conduct new employee orientations and work with department managers to recruit qualified staff. The ideal candidate will assist and support the Human Resources Manager in designing, planning, and executing employee engagement programs, activities, and initiatives that alight with the company’s goals and culture. This position will also be responsible for offering administrative support across the organization. The position will be the first point of contact for the company on-site and will distribute correspondence and phone calls appropriately as well as manage the front office space at the Old Tucson Administration Building by performing a variety of administrative and clerical tasks. 

Essential Duties and Responsibilities:

  • Assist with administrative Human Resources tasks such as maintaining employee personnel files, assisting with recruiting and onboarding, work with department managers to schedule and document appropriate staff trainings, manage timely timecard approvals and submission of payroll, etc. 
  • Promote a healthy and safe work environment.
  • Develop, implement, and analyze employee surveys to gather feedback on workplace satisfaction, identify areas of improvement, and track employee engagement trends.
  • Promote open and transparent communication channels withing the organization. Recognize and celebrate employee achievements and milestones through various recognition programs.
  • Collaborate with the HR Manager and the management team to identify training and development opportunities that enhance employee skills, job satisfaction, and career growth.
  • Develop and coordinate wellness initiatives, programs, and activities to support employee physical and mental health, including stress management and work-life balance.
  • Organize and manage employee events, such as team-building activities, volunteer opportunities, and social gatherings to strengthen interpersonal relationships and team cohesion.
  • Establish and manage recognition and rewards programs to acknowledge outstanding employee contributions and boost motivation.
  • Answer general questions from visitors and provide proper contact information.
  • Answer phones and transfer to appropriate party or take messages when appropriate.
  • Receive, sort, scan and distribute daily mail and deliveries.
  • Ensure cleanliness and functionality of the Administration building by working with internal custodial department and external contractors when necessary.
  • Assist with communication/distribution of pertinent company information and announcements to location employees as well as postings related to employment at Old Tucson
  • Monitor and restock office supplies and materials.
  • Other Duties as assigned.

Education, Skill & Work Experience Requirements

  • 2 years of proven experience as an HR Administrative Assistant, HR Generalist, or similar role required.
  • 2 years of proven experience in an Administrative Support role preferred.
  • Bilingual and able to read, write and speak Spanish proficiently (Preferred)
  • Innovative and creative.
  • Proficient in Microsoft Office programs such as Outlook, Word, Excel, and Teams
  • Strong Customer Service capabilities are a must.
  • Excellent written/verbal communication skill
  • Ability to coordinate multiple tasks and work within deadline pressure.
  • Accuracy and attention to detail
  • Valid Driver’s License

Work Environment:

  • Majority of time spent in an office setting with frequent interruptions.
  • Some time spent walking in and around the park where uneven surfaces exist.
  • Must be able to regularly lift and/or move materials up to 25lbs.
  • Frequently required to sit, stand, walk, use hands to finger dexterity, handle or feel, and reach with hands and arms. 
  • Monday to Friday, 8am-5pm
  • Hours may include nights, weekends, and holidays.
