Winter Family Care, LLC is Hiring a House Coach (Supervisor) Near Duluth, MN

Position title: House Coach
Reports to: Executive Director
FLSA classification: Non-exempt
Closing date: June 9, 2024
Rate type: Combination of salary and hourly

Position Summary: The House Coach is the primary coach for their location and is responsible for promoting our organization's values in all areas with the goal of all those connected to that house, both service recipients, community members, and support staff, feeling valued, respected, and supported like a member of a healthy family group. They are responsible for coaching the direct support professionals working at their location, assuring the quality of program documentation, goal implementation, facilitating communication between stakeholders, providing direct support to service recipients, and participating as a member of the organizational management team through regular communications, receiving coaching themselves, and referring of support staff for coaching across locations.

Position Duties:
Key Responsibility - Coach

  • 40 minute monthly coaching session with each house staff person.
  • 10 minute weekly face-time with each staff person.
  • Coach support staff in developing in their personal, work, and organizational goals.
  • Coach new support staff through their orientation with direct coaching and connecting them with other support staff for input and feedback.
  • Provide training following service recipients' team meetings and periodically on house systems.
  • Highlight positive job performance by support staff in order to share kudos.
  • Provide evaluation of support staff at key points in their orientation process and annually to the HR Director by facilitating self-evaluations and co-worker feedback.

Key Responsibility - Communication

  • Facilitate communication between and among service recipients, support staff, other service providers, medical coordinator, and guardians.
  • Hold regular household gatherings for housemates to communicate in a non-threatening setting.
  • Coach service recipients through concerns and/or conflicts.
  • Update service recipients' guardians regarding recent activities and goal achievement and upcoming plans for such on a semi regular and as needed basis.
  • Assist with person-centered planning for new service recipients and updating of such assessments every six months.
  • Coordinate with the Director of Compliance & Communications in writing quarterly general summaries for progress reports.
  • Monitor company provided email for communications.
  • Assure household voicemails are being checked and returned.
  • Assure communication is taking place regarding meal planning.

Key Responsibility - Quality Assurance

  • Regularly evaluate the quality of program documentation and provide coaching to support staff.
  • Provide assurance of the accuracy of service recipients' financial records.
  • Approve timesheets for house staff shifts on a weekly basis.
  • Assign purchasing responsibilities and provide oversight of the use of company credit cards by reviewing receipts and statements.
  • Assure program and service recipient goals are implemented.
  • Communicate directly with Maintenance Coordinator regarding facility needs.

Key Responsibility - Direct Support

  • Maintain thorough understanding of service recipient needs at their house.
  • Support service recipients regularly during all types of shifts and roles (morning, afternoon, evening, weekend)
  • Provide primary support during transitions to new service recipients.

Key Responsibility - Management/Coaching Team Member

  • Participate in bi-weekly management team meetings/trainings.
  • Seek to actively support other members of the management team during coaching sessions and operational activities.
  • Inform other team members of changes in household operations so that they can effectively navigate on-call inquiries.
  • Keep informed regarding operation of the other service settings.
  • Be coached by a senior manager on a monthly basis and seek to grow in your personal, work, and organizational goals.
  • Maintain and develop coaching skills in concert with other management team members through training, role-playing, and coaching triads.
  • Coordinate with the Director of HR regarding support staff scheduling.
  • Forward all reports of suspected maltreatment, abuse, or neglect immediately to both primary and secondary internal investigators excepting if the report is regarding one of them.
  • Actively look for opportunities to make referrals to other coaches across locations when a support person has a concern or question regarding other locations or management team members.

Job Qualifications & Skills:

  • Ability to work in a home-like setting.
  • Strong interpersonal and communication skills with the ability to build positive relationships with service recipients, guardians, families, and team members.
  • Ability to work independently and as part of a team, demonstrating flexibility and adaptability in a dynamic work environment.
  • Understanding of person-centered plans and IAPPs.
  • Valid driver's license.
  • Ability to become CPI or MANDT certified within 90 days.

Education & Experience Requirements:

  • High school diploma or equivalent required; AA or BA preferred.
  • Three years of experience in direct support, management, or other related 245D intensive service. Six months minimum experience internally.
